Position Overview: We are seeking an experienced and detail-oriented Project Manager.
The Project Manager is ultimately responsible for the financial performance and successful execution of one or more construction projects.
This role requires strong leadership, strategic oversight, and effective communication with clients, team members, subcontractors, and other stakeholders.
The Project Manager will manage all aspects of project delivery, from scope definition through close-out, while maintaining documentation and ensuring smooth field operations.
Responsibilities: Project Planning and Initiation: Collaborate with clients, landscape architects, and sales team to understand project requirements, goals, and constraints.Develop project plans, including scope of work, timelines, budget estimates, and resource requirements.Conduct site visits and assessments to evaluate project feasibility, identify potential risks, and propose solutions.Assist in the development of proposals, bids, and contracts, ensuring accuracy and adherence to client specifications.Review and understand the full scope of work.Communicate scope clearly to all internal and external stakeholders.
Project Execution and Control: Coordinate and manage project activities, including scheduling, resource allocation, and subcontractor coordination.Supervise and provide guidance to project teams, including landscape crews, subcontractors, and suppliers.Monitor project progress, ensuring adherence to project timelines, budgetary constraints, and quality standards.Conduct regular site inspections to assess work quality, identify issues, and implement corrective actions.Maintain project documentation, including contracts, change orders, and communication records.Collaborate with stakeholders to address and resolve any project-related issues or conflicts.
Client Communication and Relationship Management: Serve as the main point of contact for clients, providing regular project updates, addressing inquiries, and managing client expectations.Conduct meetings with clients to review project progress, discuss any changes, and obtain feedback.Collaborate with clients to identify additional project opportunities and provide recommendations for enhancement.Ensure high levels of client satisfaction by delivering projects on time, within budget, and meeting quality expectations.Collaborate with the Superintendent to create and maintain the master schedule, including weekly short-term plans Resource Management and Procurement: Coordinate and allocate resources, including labor, equipment, and materials, based on project requirements.Monitor resource utilization and efficiency, making adjustments as needed to optimize productivity and cost-effectiveness.Collaborate with the procurement team to source and procure materials and equipment required for project execution.Manage subcontractor relationships, ensuring adherence to project requirements, schedules, and quality standards.Lead or supervise buyout of materials, subcontractors, and equipment.Ensure accurate and timely preparation of Purchase Orders and Subcontracts.
Budgeting and Financial Management: Develop and manage project budgets, tracking expenses, and ensuring adherence to budgetary constraints.Monitor project financials, including costs, revenue, and profitability, and provide regular reports to management.Collaborate with the finance team to track project-related financials, including cost tracking, budget variance analysis, and revenue recognition.Establish the schedule of values and manage monthly billing to the Owner.Prepare, negotiate, and track all changes (change orders, scope disputes, budget revisions) in prescribed formats Quality Assurance and Safety Compliance: Ensure that all project activities adhere to quality standards and meet or exceed client expectations.Implement and enforce safety protocols, procedures, and regulations to ensure a safe working environment for all team members.Conduct regular safety meetings, toolbox talks, and training sessions to promote safety awareness and compliance.Investigate and report any accidents, incidents, or near misses, implementing corrective actions to prevent future occurrences.Collaborate with the Superintendent to ensure the job site meets all safety and quality standards.Establish special case systems for quality assurance where necessary Project Closure and Evaluation: Conduct project closeout activities, including client sign-off, final inspections, and documentation.Perform project evaluations to identify lessons learned, areas of improvement, and best practices.Collaborate with the sales team to ensure proper handover of completed projects and facilitate client feedback.Oversee and execute all project closeout activities, including documentation, warranty management, and final turnoverSupport field operations by ensuring access to clear plans, materials, and communication.Maintain a high level of professionalism, transparency, and accountability throughout the project lifecycle Qualifications: Bachelor's degree in Landscape Architecture, Construction Management, or a related field is preferred.Proven experience (5+ years) in project management, preferably in the landscaping or construction industry.Strong knowledge of landscape design, construction techniques, and horticulture practices.Proficiency in project management software and tools.Excellent leadership and team management skills, with the ability to motivate and develop a diverse team.Strong communication and interpersonal skills to effectively interact with clients, team members, and stakeholders.Valid driver's license and ability to visit project sites and oversee operations.This position requires a satisfactory completion of a DMV Motor Vehicle background check.
