Job Description
The Front Desk Receptionist is a friendly professional that to serve as the first point of contact for clients, guests, and visitors at our office. In this role, you’ll be responsible for delivering exceptional customer service, managing phone inquiries, and handling a variety of administrative tasks to help ensure our office runs smoothly and efficiently.
Key Responsibilities:
1. Customer Service & Reception Duties:
Greet and welcome visitors with a positive, professional demeanor.
Answer and direct phone calls, take messages, and respond to inquiries.
Provide information about services and office policies.
2. Administrative Support:
Manage incoming and outgoing mail and packages.
Maintain office supplies inventory and assist with ordering as necessary.
Perform data entry, filing, and other assigned administrative tasks.
3. Managing Front Desk Operations:
Monitor the front lobby to ensure it is clean, organized, and welcoming for visitors.
4. Communication & Coordination:
Collaborate with team members and other departments for smooth day-to-day operations.
Assist with office events, meetings, and special projects as needed.
Provide support to managers or executives by preparing documents, reports, or correspondence.
5. Problem Solving & Conflict Resolution:
Address visitor concerns and resolve any issues promptly and professionally.
Foster a positive, friendly, and efficient environment at the front desk.
Required Qualifications:
High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
Previous experience in a receptionist, administrative, or customer service role is a plus.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Proficiency in MS Office Suite (Word, Excel, Outlook, etc.).
Ability to remain calm and professional in a fast-paced environment.
Preferred Qualifications:
Experience with office management software.
Familiarity with basic office equipment (printers, scanners, postage meters, etc.).
Working Conditions:
Full-time position, Monday to Friday (hours may vary).
Fast-paced office environment.
Sitting for extended periods, using a computer, and engaging with clients and staff via phone and in-person.
