Job Title: Front Office Associate
Role Overview
The Front Office Associate plays a vital role in ensuring a well-functioning, welcoming, and organized office environment. The individual serves as the first point of contact for guests and vendors, manages front desk operations, oversees general office upkeep, coordinates facilities support, assists with employee services. The ideal candidate is highly organized, and able to multitask in a dynamic workplace.
Key Job Functions
Greet guests and vendors, respond to inquiries, and manage the front desk and main phone line.
Maintain office and kitchen supply inventories, restocking items as needed to support employee and client needs.
Ensure cleanliness and organization of key office areas including the mailroom, storage rooms, conference rooms, and front desk.
Load/unload dishwashers and restock client hospitality and kitchen supplies (coffee, snacks, utensils, etc.).
Manage building access cards, parking transponders, and employee overnight parking requests.
Act as liaison with building services and external vendors; coordinate office and internal luncheons.
Sort and distribute incoming mail; assist with postage machine use and maintenance.
Respond to maintenance and facilities requests from employees.
Coordinate with supervisors and IT for new hire workstation setup and employee desk moves.
Maintain and update employee nameplates; support furniture assembly and office event setup.
Replace printer toner and ensure conference rooms remain tidy and ready for use.
Maintain safety equipment such as fire extinguishers and first aid kits.
Manage the office seating chart as needed.
May perform other duties as assigned
Required Skills and Abilities

Ability to interact effectively with employees, vendors, and visitors at all levels
Exceptional organizational skills and attention to detail
Ability to manage multiple tasks and prioritize effectively in a fast-pace environment
Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
Comfortable using office equipment (postage machines, printers/copiers, phone systems)
Basic knowledge of facilities or property management systems (preferred)
Ability to lift and move light office items (e.g., boxes, small furniture, supply shipments)
Willingness to assemble furniture and handle light maintenance tasks
Required Education and Experience
High school diploma or equivalent required; associate or bachelor’s degree preferred.
2+ years of experience in an office coordination, facilities support, administrative assistant, or similar role.
Experience managing office supplies, vendor coordination, or facilities maintenance is a strong plus.
Familiarity with building operations, safety procedures, or office technology (e.g., phone systems, printers, postage meters) is desirable.
Prior experience in a customer-facing or reception/front desk role is preferred.
