GENERAL STATEMENT OF DUTIES

This position provides assistance to the Lieutenant, leadership team and staff of Community Corrections. The Corrections Assistant is responsible for computer input into the Department of Corrections computer system (DOC400) and the Law Enforcement Data System (LEDS). The Corrections Assistant will manage the Day Reporting program and maintain the work crew schedule and work crew spreadsheets.

SUPERVISION RECEIVED

This position works under the immediate supervision of the Community Corrections Lieutenant or by his/her designee who periodically reviews for adherence to the appropriate policies and for results obtained.

SUPERVISION EXERCISED

Supervision of other employees is not normally a responsibility of positions in this classification.

Essential Functions

ESSENTIAL DUTIES

(The following description of duties may not be all inclusive and other duties may be assigned at the discretion of management).

Provide a wide scope of clerical support including data collection, computer input, and filing, answering phones, greeting the public and directing clients.

Gather, compiles and distributes offender background information to accomplish supervision goals.

Collects and inputs pertinent case information from court documents, treatment documents and offender files into computer system.

Schedules meetings, services and interviews with clients as necessary.

Collects and inputs pertinent supervision fee payment/collection information into computer system.

Maintains and updates confidential records and performs other record keeping as necessary.

Operation of LEDS and DOC400 terminals. Enter and remove offenders in LEDS and make necessary changes.

Open and close probation and parole cases in the computer system.

Maintain a log of all incoming and outgoing interstate compact transfers and in state transfers.

Assist the lead person for Malheur County Community Corrections Statewide Operations Office Network (SOON).

Assist the Law Enforcement Data System (LEDS) representative for Malheur County Community Corrections.

Track all incoming cases and ensuring they are assigned to a Probation Deputy.

Order office supplies for the department.

Sign up Day Reporters and manage the work crew spreadsheets.

Supervise urinalysis testing from day reporters.

Must maintain strict confidentiality.

Perform related duties as assigned.

Courteously meet and deal effectively with other employees, department heads, outside agency personnel and the public.

Regular physical attendance at the employer’s facility is required.

Qualifications

MINIMUM QUALIFICATIONS

Must be a U.S. citizen, minimum age 21 with a high school diploma or equivalency. Need to have three years progressively responsible clerical experience or any satisfactory combination of experience and training. Must be able to pass a comprehensive background check and possess a valid driver’s license with a clean driving record.

SPECIAL REQUIREMENTS

This position requires the occasional use of a vehicle to conduct County business. Possession of a valid Drivers’ License with a good driving history required. A safe and acceptable driving record per County policy must be maintained throughout course of employment.

Knowledge, Skills & Abilities

PREFERRED KNOWLEDGE AND SKILLS

Knowledge of the criminal justice system.

Experience working directly with the public.

Experience working in the LEDS system, certification within 6 months of hire, and DOC400

Will need to become a notary within 6 months

Scheduling Experience.

Experience with ordering office supplies.

Proficient Computer Skills.

Bilingual in Spanish preferred.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED BY THIS POSITION

Knowledge of: standard office practices and procedures; basic bookkeeping; filing systems, ordering supplies and record keeping.

Skill in: the operation of modern office and computer equipment; typing rapidly and accurately; processing information including: fax, copy machine, calculator, computer and postage machine.

Ability to: communicate effectively both orally and in writing; work independently and efficiently; establish, maintain and prepare records and reports; courteously meet and deal effectively with other employees, outside agency personnel, clients and the public. Ability to exercise mature judgment and work as a team player.
