The Physician Recruitment department plays a vital role in attracting and securing talented physicians and providers for HPMG. We are seeking a Recruitment Assistant to deliver administrative and operational support for our recruitment and hiring processes. Key responsibilities include scheduling and organizing video and 2-day in-person interviews, arranging travel, managing expense reimbursements and is often the liaison between candidates and physician leaders, including Board members. Also assists with other tasks on the recruiting and onboarding life cycle. This position is based at the Kaiser Mapunapuna Medical Office in Honolulu and requires onsite presence.
JOB DUTIES
Schedules, coordinates and facilitates site visits for physician and provider candidates.
Prepares candidate materials and drafts summaries for executive and leadership meetings.
Reviews, reconciles, and processes credit card expenses and other recruitment expenses.
Manages general email communications with prospective candidates.
Coordinates and assists with arranging travel, lodging, and local transportation for candidates and new hires, as needed.
Prepares marketing material for advertising and recruitment efforts.
Supports and attends recruitment activities and events, as required.
Tracks and provides metrics and dashboards for recruiting statistics.
Supports post-offer and pre-hire onboarding processes to include assisting with practice startup, licensing, etc.
Provides departmental assistance, encompassing tasks like ordering office supplies, arranging meetings, documenting meeting minutes, and handling reimbursement requests, along with other responsibilities.
Performs all other duties as assigned.
POSITION REQUIREMENTS
Associate degree in Healthcare, Human Resources or related field.
At least three (3) years of prior administrative experience; previous healthcare experience preferred.
Ability to manage multiple priorities and demands with timely and reliable follow up.
Must have exceptional organizational skills and attention to detail.
Ability to work independently with little supervision.
Must have familiarity of Hawaii housing/rental market and ability to work effectively with local real estate agencies.
Must possess reliable personal transportation to travel to other facilities and offices in support of recruitment activities and onboarding processes.
Must possess strong communication skills (verbal, written, and interpersonal) to interact professionally with employees and candidates across all levels.
Familiarity with Microsoft Office and Outlook.
The pay scale for this position starts at $27.86 per hour. Compensation commensurate with qualifications.
