TITLE: Receptionist
RESPONSIBLE TO: Fiscal Officer
FLSA STATUS: Full-time Non-Exempt
Purpose of Position: Serves in a public relations capacity as the initial primary point of contact for the Agency in answering and directing incoming telephone calls and individuals entering the office. Routes correspondence and performs general office and office management procedures under the supervision of the Fiscal Officer.
AREAS OF RESPONSIBILITY:
Performs daily receptionist duties, which include greeting the public, managing the phone system, and scheduling appointments as needed
Preparation of assigned correspondence or other items for mailing
Prepare and complete bank deposits.
Manages and assists staff with the operation of Agency equipment, including vehicles
Maintains weekly employee and vehicle schedules
Gather required end-of-the-month information from the copier, postage machine, and vehicle logs and disburse appropriately.
Orders and purchases various office supplies, as needed and approved by Director
Assists in monitoring and maintaining designated spreadsheets
Enters information into databases
Attends monthly Governing Board meetings, ensures required Public Notices advertising meetings are placed in appropriate media and locations before meetings, takes minutes, transcribes minutes per Director’s approval, sends agenda and minutes to board before meetings
Attends quarterly Area J Advisory Committee meetings, takes minutes, transcribes minutes per Director’s approval, sends agenda and minutes to Committee before meetings
Assemble and maintain information packets and yearly re-screens for CHOICES programs.
Prepare client monthly calendars for mailing, enclose checks with calendars, and mail to clients.
Review completed client calendars for accuracy and forward them to fiscal for processing.
Maintain informational brochures and resource information.
Organize and facilitate Agency Senior Information Fairs and outreach activities.
Performs other duties and tasks as may be assigned
MINIMUM QUALIFICATIONS:
High school education
Ability to work with the public
Excellent communication and organizational skills
Knowledge of general office procedures, including multiple-line phone system
Proficient computer skills with working knowledge of Microsoft Office programs
All Agency employees must pass background checks as completed on the Central Registry Adult and Child Protective Services, Law Enforcement, Department of Motor Vehicles, Nebraska Data Exchange Network, Sex Offender Registry, Office of Inspector General, and Nurse Registry background checks if applicable.
ESSENTIAL ATTENDANCE AND AVAILABILITY REQUIREMENTS:
Must maintain an acceptable level of attendance, punctuality, and availability as determined by the Agency; must work such regularly-scheduled hours as are determined by the Agency.
