Position Summary:

We are seeking a detail-oriented and organized Remote Procurement Technician to join our Supply Chain Management team. In this role, you will be responsible for providing essential support to the procurement process, ensuring the timely and cost-effective acquisition of medical supplies, equipment, and services. You will work closely with procurement specialists, vendors, and internal stakeholders to facilitate purchase orders, manage inventory, track deliveries, and maintain accurate procurement records. This is a fully remote position requiring a self-motivated individual with strong organizational and communication skills, and the ability to work effectively independently.

Responsibilities:

Purchase Order Processing: Generate, track, and expedite purchase orders in accordance with company policies and procedures. Ensure accuracy of pricing, quantities, specifications, and delivery terms.

Vendor Communication: Serve as a point of contact for vendors, addressing inquiries, resolving issues related to orders, deliveries, and invoices, and maintaining positive vendor relationships.

Inventory Management Support: Assist in monitoring inventory levels, identifying potential shortages or overstock situations, and contributing to the development and implementation of inventory control strategies.

Shipping and Receiving Coordination: Track shipments, coordinate with vendors and internal teams to ensure timely delivery of goods, and assist in resolving any shipping discrepancies.

Documentation and Record Keeping: Maintain accurate and organized procurement records, including purchase orders, vendor contracts, invoices, and shipping documents, both electronically and physically as needed.

Data Entry and Reporting: Accurately enter procurement data into relevant systems and generate reports on purchasing activities, vendor performance, and inventory levels as required.

Invoice Processing Support: Assist in the reconciliation of invoices with purchase orders and receiving documents, and work with the accounting department to resolve any discrepancies.

Compliance and Policy Adherence: Ensure all procurement activities comply with company policies, procedures, and relevant regulations.

Problem Solving: Investigate and resolve procurement-related issues, such as incorrect orders, damaged goods, or delayed deliveries, in a timely and efficient manner.

Communication and Collaboration: Communicate effectively with internal stakeholders, including clinical staff, administrative teams, and finance, to understand their needs and provide updates on procurement activities.

Process Improvement: Identify opportunities for process improvement within the procurement function and contribute to the development of more efficient workflows.

Ad-hoc Tasks: Perform other procurement-related duties and projects as assigned by the Procurement Manager or other leadership.

Qualifications:

Work Permit/Citizenship: Must be a United States citizen or possess a valid work permit allowing employment in the United States.

Education: High school diploma or equivalent required. Associate's degree in business administration, supply chain management, or a related field is preferred.

Experience: Minimum of 1-3 years of experience in a procurement, purchasing, or administrative support role, preferably within the healthcare industry.

Technical Skills:

Proficiency in using procurement software or enterprise resource planning (ERP) systems.

Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Excellent data entry skills with a high degree of accuracy.

Organizational Skills: Exceptional organizational skills and the ability to manage multiple tasks simultaneously in a fast-paced environment.

Attention to Detail: Strong attention to detail and accuracy in processing information and maintaining records.

Communication Skills: Excellent written and verbal communication skills, with the ability to interact professionally with vendors and internal stakeholders.

Problem-Solving Skills: Ability to identify and resolve procurement-related issues effectively and efficiently.

Time Management: Strong time management skills and the ability to prioritize tasks to meet deadlines.

Customer Service Orientation: A proactive and customer-focused approach to supporting internal and external stakeholders.

Healthcare Knowledge (Preferred): Familiarity with medical supplies, equipment, and healthcare procurement processes is a plus.
