Service Coordinator
Reports to: Equipment Manager
Hours: Monday- Friday 6:30 AM -3:30 PM
FLSA Status: Non- Exempt
Job Location: 2040 Alum Creek Drive, primarily in person with hybrid capabilities.
General Overview: This role is responsible for managing the acquisition, disposal, and tracking of equipment, as well as supporting the setup and documentation of company systems. The position involves assisting with fuel needs, vehicle registrations, process improvements, and assists with administrative tasks related to equipment and fleet management. This employee will demonstrate Igels values of Integrity, gratitude, Excellence, and Leadership.
Responsibilities:
Serves as backup to Maintenance Administrative Assistant;
Assists Equipment Manager with equipment software;
Generates reports for the Department;
Trains mechanics on software as needed;
Completes shop filing of all ODOT inspections, machine inspections, and crane inspections;
Collects data and prepares reports for management;
Serves as the primary contact for fuel need requests and prepares fuel need list by 7:30 AM;
Manages process for tracking equipment incidents and damages and associated costs;
Gathers reports and generates summaries of equipment incidents and damages and associated costs;
Setup employees with fuel keys, Fuelman cards, and vehicle numbers as directed;
Tracks the acquisition and disposal of equipment;
Configures acquired equipment in company systems and completes associated documentation;
Schedules and coordinates internal meetings;
Assigns cost codes to invoices and receipts;
Tracks truck mileage, manages oil change receipts, and notifies drivers of required oil maintenance;
Coordinates with vendors to schedule routine track inspections of equipment;
Identifies and implements process improvements to enhance efficiency;
Renews and tracks vehicle registrations and license plates;
Knows and adheres to company policies and procedures;
Other duties as assigned.

Qualifications:
One (1) year of administrative experience, preferably in equipment management;
Proficiency in Microsoft suite of products preferred;
Must successfully pass a pre-employment drug screening. (George J. Igel & Co., Inc. is a BWC Drug-Free Workplace and tests for marijuana);
Must maintain an MVR (Motor Vehicle Record) that meets the Companys eligibility.
Must have reliable transportation.
