POSITION SUMMARY:
The Richmond Ambulance Authority (RAA) is on a mission to deliver patient-centered care thorough measurable clinical and operational excellence with efficiency, outstanding customer service, and employee engagement. The Receptionist / Office Assistant is the initial representative of RAA to visitors and to individuals calling into the main switchboard. The Receptionist/ Office Assistant is responsible for ensuring the switchboard is opened from 8:00am to 5:00pm, Monday through Friday. Greeting all visitors and registering visitors, answering incoming calls and directing calls to appropriate staff, maintaining schedules for conference rooms, and providing general office support to the Administrative Department are areas of responsibility for this position. The Receptionist/ Office Assistant will hold a valid commission as a Notary Public in the Commonwealth of Virginia and perform the related functions.
POSITION DUTIES AND RESPONSIBILITIES
Receive and direct all incoming calls
Greet and direct all visitors to RAA
Assist with FedEx, UPS, and DHL package shipments
Order mail and overnight courier supplies
Order office supplies
Book and maintain conference room schedules
Maintain contractor and visitor log book
Provide office support to the Administrative Department (Compliance, Finance and Reimbursement)
Other duties as assigned
MINIMUM EDUCATION/WORK REQUIREMENTS
High school diploma or equivalent (GED)
Six months to one year of relevant experience and/or training, or an equivalent combination of education and experience. Customer service experience preferred
Possession of strong phone etiquette and a friendly, interpersonal approach
Excellent verbal and written communications skills
Possession of strong organizational skills and the ability to multi-task
Ability to work collectively with all levels of staff
Must be punctual and possess a professional appearance
Working knowledge of MS Office (Word, Excel, Outlook)
Hold a valid commission as a Notary Public in the Commonwealth of Virginia, or the ability to obtain a valid commission in the first six (6) months of employment
CONDITIONS OF EMPLOYMENT
Candidates selected for employment are subject to a urinalysis to screen for illegal drugs. Candidates who refuse to be tested will be denied employment with the Richmond Ambulance Authority
Candidates selected for employment are subject to a fingerprint background screening. Candidates who refuse to be fingerprinted will be denied employment with the Richmond Ambulance Authority
Participation in the COVID-19 vaccination program, or having an approved medical or religious exemption on file with Human Resources is required for all Richmond Ambulance Authority Personnel
New employees complete a probationary period
PHYSICAL DEMANDS
Must be able to sit for long periods of time.
Must be able to lift up to 15 pounds of force occasionally, moderate lifting, carrying, pushing and/or pulling.
Must have high visual acuity and ability to utilize computerized systems.
Must be able to perceive the nature of sounds at normal speaking levels with or without correction and receive detailed information through oral communication.
Must be able to receive inbound calls.
