Job Description
We are a 49-year-old Southeast Michigan based and regional Mechanical Insulation contractor with a track record of building long standing relationships with our team members, vendor partners, and customers, while serving the community and building high quality projects that stand the test of time.
We are seeking an Administrative Assistance / Billing Coordinator to join our team! You will work directly with the Branch Manager and will paly a vital role in supporting daily office operations. The ideal candidate shall be organized, detail oriented, and able perform clerical and administrative functions in order to drive company success.
Responsibilities:
Set up new jobs and change orders using Foundation Accounting Software
Manage customer billing and monitor accounts
Assist with the collections processes for accounts receivable
Assist with New Vendor set up / Subcontractor documentation
Assist the Branch Manager as needed
Assist Estimators / Project Managers as needed
Perform general office duties such as answering phone calls, filing, and miscellaneous paperwork
Perform data entry tasks, including recording transactions and updating account information
Support the team with clerical duties such as filing, scanning, and organizing documents
Maintain confidentiality of sensitive financial information while adhering to company policies and procedures
Assist with multiple payrolls for multiple divisions on a weekly basis
Assist with employee expense reimbursement/credit card reconciliation
Qualifications:
Previous experience in an accounting or finance related fields
Previous experience in office administration or other related fields
Ability to prioritize and multitask
Excellent written and verbal communication skills
Strong attention to detail
Strong organizational skills
Proficiency in Microsoft Outlook, Excel, Word
Proficiency in Foundation Accounting Software and Salesforce is a plus but not required
