Reports to Workplace Manager
The purpose of this position is to ensure the smooth running of the reception function and to provide support in the administration of our busy office.
As the first point of contact, it is imperative to demonstrate a positive attitude and professional behaviour by greeting clients and business contacts both in person and on the phone in a consistent manner, conveying a friendly attitude and reacting in a helpful and professional way to various requests. This is a contract role for 6 months.
Key responsibilities:
Ensure the reception function runs smoothly and efficiently as part of the team
Answer and forward all incoming calls in a polite and professional manner, taking detailed messages and directing the caller to the correct team/individual, in line with agreed procedures
Greet clients and visitors to the office with a welcoming manner meeting expected standards
Ensure the client areas, Board and Meeting rooms are always clean, organised, and ready for use
Provide internal and external clients and visitors with refreshments
Organise outside catering, and support with events and presentations with the setup of areas, catering and any other requirements as requested
Manage the Boardroom and Meeting room diaries via Outlook
Receive items delivered to the office and ensure swift distribution across the office
Arrange the collection and monitoring of courier packages; ensure logs are maintained
Manage outgoing mail throughout the day
Provide support to the wider Workplace team on facilities and building related tasks (two days per week), by being the first point of contact for contractors and coordinating visits and ensuring monitoring schedules are kept up to date
Ordering tea/coffee/sugar etc to supply all kitchens and keep stocked up
Ordering stationery as required and keep stocked up
Liaising with the cleaners on cleaning requirements and supplies
Other ad-hoc tasks that may be required to support the team or the business as a whole
Skills, knowledge, expertise:
Excellent concierge and customer service skills both face to face and virtually
Can do attitude, with the ability to work autonomously and independently whilst also as part of the wider, collaborative team
Computer literacy skills are essential, including MS Excel and Word. Must be comfortable communicating quickly over internal messenger and utilizing visitor management software
Attention to detail and accuracy
Excellent organisational and communication skills are essential
Ability to interact with clients, vendors and external contacts in a professional and confident manner
You are required to hold full work rights in Jersey. Unfortunately, we cannot offer visa sponsorship or housing licences for contract positions
We will provide the training in house for relevant technical knowledge. You will need to be quick to learn new systems and be great with people, as close working relationships between our colleagues and clients is at the heart of what we do.
