General Summary

Intake & Community Engagement Coordinator manages the initial process of new jobseekers, gathering information and ensuring they are properly connected with appropriate Towards Employment services. This position coordinates the referral and information sessions of job seekers while nurturing and growing relationships with referral agencies by tracking and creating a response process for referral calls initiated by digital requests, phone information sessions, cold calling and outreach sessions. The Intake & Community Engagement Coordinator provides feedback on referral fit and guidelines to managers and for current and prospective referring agencies and effectively communicating the vision and model of Towards Employment. Position is part of the advancement and community engagement (ACE) team and reports to the Senior Manager of Community Engagement. This is a full-time position.

PRIMARY RESPONSIBILITIES

Intake and Data Activities

Manage and document new central intake process as the central point-person to triage incoming digital forms and emails from job seekers and referral partners. Create database case files and enter all relevant information.

Formalize a central intake process ensuring a reduced response wait time and increased information session attendance.

Determine effective and efficient targeted referral follow-up to provide screening according to pre-determined risk thresholds and channel (digital, telephone, in-person). Be friendly but discerning, obtaining relevant facts and information and building a picture of each applicant's career situation. Screen out inappropriate arrangements at an early stage; and determine high response characteristics.

Maintain a thorough knowledge of Towards Employment's admission requirements, services and programs, and admissions policies and procedures. Use this information to conduct dynamic pre-admission information sessions twice a week with prospective participants to explain all TE services.?

Be familiar with requirements of construction career pathway, able to provide efficient lead follow up for increased engagement and enrollment.

Engagement

Consult with appropriate program staff on difficult referrals to determine program fit.

Ensure program managers provide all significant information and paperwork to effectively vet referrals to appropriate programs.

Ensure the marketing team has key information needed to effectively build recruitment collateral.

Assist in promoting community relations and program publicity including outreach to community service providers and managing relationships with referring agencies.

Assist leadership team with evaluating intake data to develop new systems, policies, and procedures as needed.

Tracking & Reporting

Monitor and report against key metric improvement goals such as green screen entry, and information session attendance to exceed current benchmarks.

Monitor referral portals consistently and establish consistent response times.

Create reports to ensure referral information is accurately entered into the database.

Participate in tracking/reporting of information pertinent to program evaluation.

Participate in quality assurance/quality improvement activities.Requirements:

Minimum Requirements:

High School diploma or GED certificate and at least 3 years of coordinating/leading a cross-functional initiative.

Demonstrated ability to establish and maintain positive working relationships, both internally and externally, to achieve goals.

Demonstrated ability to effectively interact with and identify needs of individuals diverse in ability, background and career interests.

Proficient with computers, including Microsoft Office, internet and email and video conferencing applications; advanced knowledge of MS Excel a plus.

Knowledge and familiarity with a customer relationship management (CRM) system.

Attention to detail, strong organizational, time management and problem-solving skills.

Ability to work independently, be flexible and dependable and demonstrate initiative.

Ability to maintain confidentiality, and to exercise discretion and independent judgment to make logical, practical decisions.

Ability to understand and follow applicable Towards Employment regulations, policies, and procedures fully and consistently.

Work Environment:

Work is performed in an office setting. Some travel is required. Position allows for approved remote working.

Must be able to remain in a stationary position 50%.
