We have an opening for an Operations Coordinator who is a self-starter, an independent worker, and a team player in a fast-growing organization. This position is within GCO’s Operations team whose role is to support the work of our policy and program staff. The role reports directly to the Executive Vice President. The Operations Coordinator will maintain a comprehensive knowledge of the work the organization performs and will be able to communicate that work in a compelling fashion.
responsibilities
Financials (60% of time)
Support grant financial reporting
Support payroll process
Support monthly financial close
Support annual organization audit process
Support annual organizational budgeting process
Support A/P functions including coding and routing invoices for approval
Make bank deposits
Maintain records of agreements, contracts and vendor payments for accurate reporting
Complete credit card reconciliation monthly
Other tasks as need to ensure that GCO maintains exceptional financial accountability to the support its donors provide.
Human Resources (30% of time)
The ideal candidate will have familiarity with Trinet and/or similar HRIS (Ripple, etc.).
The ideal candidate will have familiarity with JazzHR and/or similar ATS (Breezy, Zoho, etc.).
Schedule interviews with potential candidates
Draft contracts for staff, contractors, and interns
Create new hire and employee benefit packets, job postings and job descriptions
Conduct new employee, contractor, and intern on-boarding orientation and paperwork
Oversee annual employee benefit renewal
Prepare quarterly performance reviews
Office Administration (10% of Time)
Forward incoming general e-mails to the appropriate staff member
Forward voice mail from the general mailbox to the appropriate staff member
Purchase, receive and store the office supplies ensuring that basic supplies are always available
Provide secretarial and administrative support to management and other staff
Make travel, meeting and other arrangements for staff
Ensure employees have all necessary equipment and support to complete their program goals
Direct phone inquiries to the appropriate staff members
Reply to general information requests with the accurate information
Qualifications
The ideal candidate will hold, have a desire to hold, or be working on a Bachelor’s degree in Accounting, Finance, or Operations Management
The ideal candidate will be able to show an ability to excel in GCO’s hybrid work environment.
The ideal candidate will have strong spreadsheet skills (either MS Excel or Google Sheets)
The ideal candidate will have strong Office Automation tools skills (MS Office or Google)
The ideal candidate will have a working knowledge of Slack or MS Teams
The ideal candidate will have a working knowledge of Trello/Jira or similar Agile project management tools
Outstanding communication skills, both written and verbal; excellent presentation skills and high attention to detail is essential
Strong organization, high initiative, clear interpersonal skills, professionalism, mature judgment, and the ability to produce detailed work on tight deadlines
Integrity in managing sensitive and confidential information
Collaborative spirit, works well with colleagues and leadership in a fast-paced, entrepreneurial environment
Compensation
Compensation for this position will be based on proven experience level and is expected to fall with the range of $55k-$75k.
