Receptionist / Administrative Assistant

About the Role:

We are seeking a detail-oriented, professional, and customer-focused individual to join our team as a Receptionist / Administrative Assistant. In this role, you will serve as the first point of contact for our company while also providing essential support to management and administrative functions.

Key Responsibilities:

Manage incoming calls, ensuring efficient screening and routing.

Welcome and assist visitors, vendors, and guests in a friendly and professional manner.

Maintain the cleanliness and organization of the reception and conference room areas.

Support management with exceptional customer service and administrative tasks.

Perform accurate and efficient data entry, including expediting customer purchase orders (POs).

Conduct occasional research to support business operations.

Handle banking tasks such as preparing bank deposits & cash posting as well.

Sort, organize, and distribute incoming mail.

Prepare and send customer invoices.

Assist with accounts receivable (A/R) collections and follow-ups.

Provide support for accounts payable (A/P), data entry including mail management.

Qualifications:

Exceptional customer service and communication skills.

Strong organizational and multitasking abilities.

Proficiency in data entry with attention to detail.

Prior experience in a machine shop or industrial environment is a plus.

Basic knowledge of accounts receivable and accounts payable processes is preferred.
