Dispatcher/Office Manager
We are seeking a detail-oriented and experienced Dispatcher/Office manager to join our team at our Texas Branch. The successful candidate will be responsible for ensuring our units are successfully delivered and picked-up from customer sites, ensuring the drivers are following all safety and DOT regulations. In addition, this person will manage and process the branch’s rental/sales. We need you to help to support and grow our constantly expanding client base.
Responsibilities:
Promotes safety first for all areas of dispatch. Ensures drivers are following all DOT, safety policies and procedures.
Supervises team of Drivers, which includes:
Scheduling and assigning drivers and vehicles to convey portable office and storage units
Reviews next day/week deliveries and pick-ups and develops a dispatch plan
Notifies drivers of daily assignments
Tracks Drivers out on delivery/pick-up
Assists Drivers in troubleshooting when necessary
Sets daily and weekly priorities for the team
Conducts performance discussions and training
Ensures Drivers have collected all appropriate paperwork for the day.
Process daily paperwork to corporate
Communicates with customers to assist in scheduling daily/weekly activities
Maintains daily log files and preventative maintenance files and records the information into the appropriate systems. Ensures all daily/weekly/monthly paperwork is completed, recorded and filed.
Maintains branch’s budgeted trucking profit margin (repair & maintenance cost control)
Works with branch manager to determine driver schedule availability, and schedule deliveries/pick-ups outside of normal business hours.
Track registrations of fleet equipment & vehicles.
Install license plates on equipment as needed.
Assist & maintain paperwork for branch audit purposes.
Work with mechanics about truck repairs and calls for parts from vendors.
Conduct Safety Meetings.
Skills Needed for Success:
Excellent verbal and written communication skills
Good organizational skills and the ability to multitask
Strong listening skills
Required Qualifications:
High School Diploma or equivalent preferred.
2+ years of experience in rental industry, customer service, and billing.
4+ year of experience in driver scheduling and dispatching.
Knowledge of DOT and state specific safety regulations.
Ability to communicate clearly (verbal and written).
Valid Driver’s License. (Class A bonus)
