POSITION OVERVIEW:
We are seeking a highly organized and customer-focused Administrative Assistant to support our Customer Experience and Marketing teams within a fast-paced banking environment. This role plays a key part in driving efficiency, coordinating initiatives, and supporting customer engagement strategies that enhance both customer and employee experience.
KEY RESPONSIBILITIES:
Provide comprehensive administrative support to the Customer Experience and Marketing leadership teams
Schedule meetings, manage calendars, manage inboxes, manage customer calls and coordinate logistics for the CXO.
Support the Events Coordinator with client events, internal workshops, and marketing initiatives
Assist in preparing CX and marketing materials, presentations, and reports for internal and external stakeholders
Coordinate with retail banking, insurance, wealth and commercial teams to support CX/Marketing requests
Help track project timelines, deliverables, and metrics across all CX/Marketing projects
Support internal communications and employee engagement related to customer experience and employee experience
Uphold confidentiality and professionalism in handling sensitive customer and business information
Support Events Manager and team to inventory promotional items needed for events and sales promotions for the organization, including management of online promotional storefront
Vendor invoice processing for events
G/L release reports for charging back items ordered on the Prink Clik website to the user branch or department
Editing Provident Business Card and Apparel storefronts (internal Provident Store)
Price quotes for apparel and event-related items
Inventory control for Barrington (Provident storefront)
Department Apparel logos – for apparel orders
New and renewed contracts - BCR submissions – prepare docs for Benefits Director to review and submit – including Vendor Intake Forms
MINIMUM QUALIFICATIONS:
2-5 years’ experience as an administrative assistant, preferably within banking, marketing or CX.
High school diploma required
Proven experience as an administrative assistant
Proficiency in MicrosoftvOffice, Canva, vendor systems
Excellent written and verbal communication skills
Strong organizational skills with ability to multitask and prioritize
Attention to detail and problem-solving skills
Ability to work independently as a part of larger team
Professional demeanor and strong interpersonal skills
Stellar phone and email etiquette for customer support/interactions
Experience with insurance and wealth a bonus
WORKING CONDITIONS:
Work is performed in a normal office environment. Noise levels are usually moderate. This position involves travel to customers and property locations.

Lifting from 5 to 10 lbs. (printer paper, storage boxes)
Occasional bending or overhead lifting (storing files or boxes)
The hazards are mainly those present in a normal office setting

Pay Details:
$27.59 - $ 34.46 per hour
Please note, the base pay actually offered may vary based upon the candidate's skills and experience, job-related knowledge, education, geographic location, internal equity, and other applicable business and organizational needs.
This role is incentive eligible based upon company, business, and/or individual goal achievement and performance.
