Summary/Objective:
The Warranty Administrative Assistant provides support for the daily activities of the VP of Warranty & Quality Assurance and team. Required to build strong relationships with warranty, construction, sales, trade partners, and service providers to ensure homeowners receive the best care possible.
Essential Job Duties:
Provides administrative backup coverage for warranty calls and emails and provides administrative support for quality assurance and safety.
Exports warranty reports from the warranty portal and survey portal and formats in Microsoft Excel and PowerPoint.
Navigates through NewStar for data retrieval and updates.
Maintains and distributes the on-call schedule, updates relevant platforms such as Outlook and answering exchange portal.
Reviews survey results and follows up with detractor homeowners to gather additional feedback to provide summary.
Contact homeowners within five (5) days of closing to provide a touchpoint and review job file in the warranty file.
Maintains vendor lists and project folders for active communities in SharePoint and warranty portal.
Creates and distributes Utilities Directory for all new projects.
Updates and distributes warranty spec reports to each division.
Tracks and follows up on active insurance claims to provide biweekly reports to division management.
Collects requested documents related to insurance and legal claims.
Fields calls from homeowners regarding insurance claims and follows up accordingly.
Ensures each division maintains stock of warranty manuals and magnets and coordinates orders with the marketing team.
Serve as the designated delegate for the VP of Warranty and Quality Assurance, managing external emails and directing inquiries as needed.
Processes incoming invoices.
Prepare and submit monthly expense reports.
Maintains group distribution in Outlook and survey portals.
Education, Knowledge, Skills and Abilities:
High School Diploma required, AA Degree in Business Administration, or a related field preferred.
3+ years of experience in a coordinator/administrative support role in a business environment.
Advanced knowledge in MS Office Suite, Adobe, DocuSign, and able to learn and master PunchList Manager.
Extremely well-organized, flexible, ability to prioritize workloads, work in a fast-paced environment to meet deadlines.
Excellent written and oral communication, organizational, and multitasking skills. Ability to prioritize daily incoming tasks.
Must be self-motivated, creative, detail oriented with solid organizational, time management and follow up skills, and be personable with a can-do attitude.
Requires the ability to work while functioning under the pressure of problem solving and managing time sensitive deadlines.
