Description
POSITION SUMMARY:
Manages day to day communication at the front desk. Performs routine clerical works such as typing, filing, data entry, receives and redirects messages for staff and residents; performs emergency evacuation duties; and related work as required.
ESSENTIAL RESPONSIBLITY:
Operates a multi-line telephone console, answering phone calls and transferring to residents or staff as required.
Greets visitors, staff, and residents in a professional and courteous manner.
Supervises sign-in procedures; ascertains nature of business and directs visitors to appropriate destination.
Operates office equipment such as computer, copy machine, and fax.
Uses paging system as required, i.e., radio pager and mobile telephones.
Coordinates staff during Fire and Emergency Disaster drills per instructions from Security and fire and police departments.
Assist residents with copying, faxing, and scanning.
Monitors Emergency Control Panel and reports emergency signals to Security.
Monitors and controls Gate Access.
May assist residents in internet searches and researching information.
Answers resident, family member, and staff questions over the phone or in person regarding Westminster Village and any departments within.
Manages the Reception email account, sending communications regarding resident hospital admissions and discharges, resident out of town notices, internal moves, and other resident related communication to staff.
Submits maintenance, housekeeping, and IT work orders.
Maintains accurate list of on-call maintenance staff to contact when necessary.
Submits resident grocery orders to grocery store partners.
Processes charges of services and goods in Point-of-Sale system.
Produces signage for posting around campus when necessary.
Maintains professionalism and high levels of customer service at all times in conversations over the phone and in person.
Maintains the front desk area in a clean and presentable manner.
Performs additional job tasks as required by supervisor.
Qualifications
EDUCATION/EXPERIENCE:
High School diploma or equivalent preferred.
Experience in using a multi-line telephone system required
Prior senior living experience preferred.
Customer service experience preferred.
Ability to speak, read, and write in English. Ability to communicate effectively using proper speech, grammar, and pleasant voice.
Prior experience in reception and clerical-type duties preferred.
Strong computer skills, including use of Microsoft Office required.
PHYSICAL DEMAND:
Ability to sit for a prolonged amount of time.
Ability to stoop, kneel, reach, and squat.
Ability to push a resident in a wheelchair (up to 300 pounds); lift up to 50 pounds
