Salary: Range $4,390 to $9,565 monthly – commensurate with experience

Overview:
The Executive II plans, organizes and supervises staff engaged in the Facility Accounting functions; supervises the auditing of Facility sales journals identifying errors and making adjustments; responsible for coordinating error resolution with Sales Analysis, Income Control, and Reporting and Fund Management Sections; answers phone and e-mail inquiries from internal and external auditors relative to Facility Accounting entries; researches and provides documentation for Driver Services Fraud and Lost Documents Sections; and attends meetings and provides administrative reports.
Duties and Responsibilities:
Plans, organizes, supervises and evaluates the activities of employees in the Downstate Facility Accounting Section; establishes workload, assigns work, approves time, initiates discipline actions and evaluates the performance of employees responsible for analyzing sales journals from department downstate facilities.
Supervises the staff in the downstate Driver and Vehicle Facility Accounting Unit in the auditing adjustment work, journalizing corrections to correct Daily Sales Summary Reports, consolidation of journal entries and preparing necessary reports for the Sales Analysis, Returned Check, Registration Processing, License Corrections areas of the Secretary of State’s Office.
Responsible for error resolution with Income Control Section to find missing deposit slips and Sales Analysis Section to prepare corrections to Sales Analysis Reports and coordinate adjustments with Reporting and Fund Management Section.
Responsible for answering phone and e-mail inquiries from internal and external auditors regarding Facility Accounting issues, i.e. explains reasons for adjustments made in reports and explains the steps taken to correct errors.
Liaison responsibilities with the Driver’s Services Fraud and Lost Document Sections isolating transactions and providing documentation when needed.
Attends internal Accounting Revenue Department meetings and represents the Accounting Revenue Department at training seminars; prepares monthly reports for the administrative office and special reports upon request.
Perform other duties as required or assigned.Education and Experience:
Requires knowledge, skill and mental development equivalent to completion of four years of college, preferably with courses in business or public administration and two years of managerial experience in a public or business organization.Knowledge, Skills and Abilities:
Requires extensive knowledge of the principles and practices of public and business administration.
Requires thorough knowledge of the functions and organization of State government.
Requires working knowledge of the principles of business accounting, program budgeting, personnel management and statistics.
Requires elementary knowledge of data processing business applications.
Requires ability to supervise and coordinate a medium-sized program or part of a large statewide program.
Requires ability to analyze operational problems and determine appropriate course of action.
Requires ability to develop, install and evaluate new and revised methods, procedures and performance standards.
Requires ability to effectively implement policies and procedures.
Requires willingness to travel and possession of a valid Illinois driver’s license as required by individual positions within the class. Application Process:
