Office Administrator
Reports to: Location Vice President
Job overview
We are seeking a detail-oriented and proactive Part-Time Office Administrator to support daily office operations and contribute to a positive and efficient work environment. This role involves a variety of administrative, logistical, and coordination responsibilities to ensure the smooth day-to-day functioning of the office.
Responsibilities
Provide general administrative and clerical support
Plan and organize office workspace layouts and seating arrangements
Coordinate domestic and international travel arrangements for employees
Oversee company vehicle fleet usage, scheduling, and maintenance
Manage inventory and ordering of office supplies and equipment
Plan and coordinate employee events and celebrations
Support the planning and logistics of the intern program
Maintain and cultivate the onsite company garden
Organize workshops, team-building activities, and employee engagement initiatives
Assist with scheduling meetings and managing shared calendars
Prepare reports, presentations, and documents as needed
Manage incoming and outgoing mail and packages
Coordinate maintenance and servicing of office equipment
Provide calendar management and administrative support for the Vice President
Complete ad-hoc tasks and special projects as assigned
Knowledge, Skills and Abilities
High school diploma or equivalent; associate or bachelor’s degree preferred
Proven experience in an administrative or office support role
Proficient in Microsoft Office Suite (Word, Excel, Outlook)
Strong organizational and time-management skills
Excellent verbal and written communication skills
Ability to handle sensitive information with confidentiality
Comfortable working part-time with minimal supervision
Must have a friendly, professional demeanor
Ability to adapt to changing priorities
Work Environment
Professional office setting with a collaborative, team-oriented atmosphere
Primarily indoors with a climate-controlled environment
Moderate noise level consistent with standard office equipment and conversations
Regular interaction with employees at all levels of the organization, as well as external vendors or visitors
Fast-paced environment with shifting priorities based on business needs and administrative support requirements
Occasional need to move between different areas of the office or building for event coordination, supply organization, or meeting setup
Flexible hours may be required to support company events or meetings outside standard office hours
Physical Requirements
Ability to sit or stand at a desk for extended periods
Frequent use of standard office equipment, including computers, phones, printers, and copier
Ability to lift or carry office supplies, packages, or equipment up to 25 lbs.
Occasional walking, bending, or reaching during office organization or event setup
Visual acuity to read and produce documents and data on a computer screen
Clear verbal communication to interact effectively with coworkers, vendors, and guests
Manual dexterity for typing, writing, filing, and operating office tools
Job Type: Part-time (20-25 hours per week)
