POSITION SUMMARY:
The Executive Assistant to the CEO provides comprehensive executive support to the CEO and the executive team. This role includes implementing and overseeing administrative systems, policies, and procedures, and assisting with projects across finance, billing, human resources, and administration. The position requires a high level of professionalism, organizational skills, and the ability to handle sensitive information with discretion.
ESSENTIAL JOB DUTIES:
Provide direct administrative support to the CEO, including managing calendars, scheduling meetings, and preparing necessary documentation. Serve as a liaison between the CEO, executive team, and internal/external stakeholders.
Organize, maintain, and monitor executive team communications, ensuring timely and effective dissemination of information.
Assist with the preparation of grants, reports, data analysis, and identifying solutions for ongoing administrative projects across departments.
Ensure the operation and maintenance of office equipment, manage inventory levels, and oversee bids for new equipment and supplies.
Act as the Board of Directors liaison, responsible for scheduling, preparing meeting notices and minutes, and providing administrative assistance as directed by the CEO.
Maintain executive and administrative files, process correspondence, and ensure efficient document management, including word processing, copying, scanning, and mailing.
Schedule and prepare meeting rooms for program and community activities, ensuring all logistical needs are met.
Stay current with professional knowledge by attending workshops, reviewing publications, and participating in professional networks and societies.
Maintain the daily staff Outlook calendar, ensuring accuracy and up-to-date information.
Provide service to patients, peers, and the community with "Sacred Hospitality," upholding the values and mission of The NATIVE Project.
Perform other related duties as assigned by the CEO to support the overall functioning of the organization.
QUALIFICATIONS:
Education and Experience: High School Diploma or associates degree with a minimum of five years of relevant administrative experience.
Cultural Competency: Strong understanding of multicultural communities, particularly Indian culture and Indian Country. Experience working with social service systems and community resources is preferred.
Organizational Skills: Demonstrated ability to manage multiple tasks, prioritize effectively, and meet conflicting deadlines.
Communication Skills: Excellent verbal and written communication skills, with strong proofreading and editing abilities.
Teamwork: Ability to work collaboratively in a team environment in leadership and peer roles.
Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn other software programs.
Physical Requirements: Ability to lift and move items weighing 25-30 lbs., sit for extended periods, and handle stress effectively. Must be able to travel locally for errands and supplies.
