Department's Website: Summary of Job Duties:The Program Coordinator will provide a high level of programmatic and administrative support for a division (or divisions) within the College of Medicine, Department of Surgery. Each division is responsible for the execution of specialized programs related to the division's clinical specialty. The primary areas of work will involve high-level administrative duties, program coordination, data collection and reporting, professional document preparation, travel management, purchasing, scheduling, and office support for the division(s). The Program Coordinator will also work cooperatively with Service Line staff to maintain UAMS standards of first-class patient care. The incumbent must be detail-oriented and have excellent professional writing, editing, and spelling skills to assist with correspondence and professional presentation development for the Division Chief and faculty within the division. The position communicates with executive and professional leadership positions both internal and external to UAMS.Qualifications:

Bachelor's degree in administration, communications, business (or related field) plus two (2) years of programmatic and executive level support, correspondence and writing correspondence in a professional capacity or

High Schooldiploma/GED plus six (6) years of programmatic and executive level support, correspondence, and writing correspondence in a professional capacity required.

Knowledge, Skills, & Abilities:

Must have strong organizational skills and be proficient with MS Office programs including Outlook, Word, Excel, and PowerPoint, with Intermediate Level Proficiency.

Must have at least 5 years' experience preparing executive level correspondence, including letters, resumes, CVs, letters of reference, various support letters, and other general and professional correspondence and documents.

Preferred Qualifications:

Bachelor's Degree in administration, communications, business, or related.

Workday or other similar software experience.

Responsibilities;

Collect, abstract, and report data while participating in registries.

Conduct literature searches using reputable resources to support grants and research initiatives.

Coordinate physician outreach engagements and educational programs.

Plan and execute targeted outreach and marketing events.

Develop professional presentations using faculty-provided content.

Manage faculty calendars and schedules, coordinating clinical and educational responsibilities.

Update faculty curriculum vitae (CV) and biosketches as needed.

Assist in preparing promotion and tenure packets.

Draft and prepare letters of recommendation and other professional correspondence.

Facilitate the renewal of hospital privileges.

Develop and enter call schedules into the On-Call System.

Organize and coordinate meetings, prepare agendas, and record minutes.

Assist faculty with IT support requests.

Screen and route incoming calls and communications professionally and efficiently.

Maintain an accurate inventory of division property and ensure office equipment remains in working order.

Provide financial planning and reporting assistance.

Support contracting processes as needed.

Coordinate continuing education events for faculty and staff.

Process travel and purchasing requests in SAP while ensuring compliance with UAMS and State policies.

Manage travel logistics, including securing flights, accommodations, transportation, and meeting registrations.

Prepare travel binders and process reimbursements in compliance with UAMS and state guidelines.

Track division e-fund budgets and provided faculty with status updates.

Manage purchasing and travel encumbrances, ensuring timely processing of required documents.

Order and maintain appropriate levels of office supplies.

Maintain faculty medical licensures, memberships, and credentialing information, ensuring timely payment of fees.

Assist with preparing correspondence, including letters of recommendation, support, and intent.

Review and edit written materials to ensure accuracy before submission.

Organize and store completed documents for future reference.

Cross-train to assist with additional divisional needs and perform other duties as assigned.
