Job Title: Construction Project Administrative Assistant

Job Type: Full-Time ONSITE

Job Description:

T.B. Penick & Son's, Inc. is seeking a highly organized and detail-oriented Construction Project Administrative Assistant to support our project management teams in San Diego. This role is essential in ensuring the smooth operation of construction projects by providing administrative support, managing documentation, and coordinating communication between internal teams, subcontractors, and clients.

Key Responsibilities:

Project Documentation & Reporting:

Maintain and organize all project documentation, including safety orientations, safety field reports, project photos and daily reports.

Assist in preparing and distributing meeting minutes, reports, and project updates.

Ensure all project documents are properly filed and up to date in both physical and digital formats.

Administrative Support:

Provide administrative support to project managers, superintendents, and field teams.

Schedule and coordinate project-related meetings, conference calls, and site visits.

Handle incoming calls, emails, and correspondence related to construction projects.

Subcontractor & Vendor Coordination:

Track subcontractor compliance, including insurance certificates, safety requirements, and lien releases.

Assist in the preparation and processing of subcontract agreements and purchase orders.

Follow up with vendors and suppliers to ensure timely delivery of materials and services.

Permitting & Compliance:

Support the project team with permit applications and compliance documentation.

Ensure adherence to local, state, and federal regulations related to construction projects.

Maintain logs of inspections, safety reports, and compliance checklists.

Communication & Coordination:

Act as a liaison between project managers, field teams, clients, and stakeholders.

Assist in drafting and distributing internal and external communications.

Desired Skills & Qualifications:

Education & Experience:

High school diploma or equivalent required; associate's or bachelor’s degree in business administration, construction management, or a related field preferred.

2+ years of experience in construction administration, project coordination, or a related role.

Technical & Administrative Skills:

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Experience with construction management software such as ProjectSight, Bluebeam, Textura or similar is a plus.

Ability to draft and format professional correspondence and reports.

Key Competencies:

Strong organizational and multitasking skills with attention to detail.

Excellent written and verbal communication abilities.

Ability to work independently and as part of a team in a fast-paced environment.

Knowledge of construction industry terminology, permitting, and compliance is a plus.
