What You’ll Do:

Track and manage the individuals’ journey from first connection throughout their career support journey

Prepare, update, and organize digital candidate profiles and documentation

Schedule meetings, follow-ups, and internal team tasks

Assist with project timelines, spreadsheets, and reports to keep matchmaking efforts on track

Coordinate team communication and scheduling needs

Ensure accurate and timely data entry across platforms

We’re looking for a Front Desk Administrator to manage day-to-day office functions, support our internal systems and technology, and help ensure a professional, productive, and welcoming environment for our team and guests. If you love being the glue that holds a high-performing office together, this is the role for you.

Who You Are:

A proactive communicator with strong interpersonal and verbal skills, you create a welcoming, helpful atmosphere from the front desk to the inbox.

An organized multitasker who stays calm under pressure and knows how to prioritize what matters most.

A tech-savvy problem solver who is comfortable navigating Microsoft 365 and eager to learn new systems, including CRMs and office IT tools.

A detail-driven doer who maintains a neat environment, accurate records, and functional systems, without needing constant supervision.

Comfortable supporting special projects and jumping in where needed to keep operations moving.

What You’ll Do:

Manage front desk responsibilities and serve as the first point of contact for guests, callers that don’t have direct extension and internal staff for direction.

Maintain a tidy, fully stocked, and professional office environment across all suites.

Open and close the office, oversee mail/packages, track supplies, and support team logistics.

Assist with digital and physical file organization, data entry, and documentation.

Provide IT support for basic troubleshooting and meeting setup (both in-person and online).

Maintain and organize IT inventory and help prepare for internal meetings and events.

Support cross-functional projects and ensure timely coordination of administrative tasks.
