About the Role:
CAPS is proud to operate four locations, including a state-of-the-art Surgery Center! We are seeking a Front Desk Coordinator who will be responsible for answering telephones, scheduling patient appointments, and providing exceptional service to every patient present in our office. This is a fully onsite role with both full-time and part-time openings at each of our locations.
In this role, you will partner with Patient Experience Leads and the Patient Experience Director to ensure best-in-class patient experience and assist clinical teams by verifying patient insurance coverages, collecting payments and copayments and performing all duties of registering patients. You’ll provide information and communicate with our various departments regarding Front Desk activity.
What You’ll Do:
Answers incoming calls within 3 rings, screens calls, takes messages and provides information to clients.
Performs clerical triage of incoming calls before transferring calls to other staff members.
Schedules patient’s appointments and updates the schedule throughout the day.
Checks voicemail from the previous evening.
Greet patients and other customers who present in the CAPS waiting area.
Obtains patient registration forms from new patients and annually updates form for established patients.
Gives HIPAA guidelines to patients and obtains patient signature on the form.
Verifies medical insurance that is accepted by CAPS, verifies insurance information is current and accurate and obtains referral when required.
Collects appropriate payments for service to be rendered as indicated on the superbill.
Seeks assistance from Manager when patient questions charges or refuses to pay.
Copies front and back of all insurance cards and photo identification.
Changes patient’s appointment status in the computer system to check in/out, no show or canceled.
Prints and copies schedules for the day and distributes as needed.
Fully understands and utilizes computer system to accurately schedule providers and physicians.
Balances cash drawer at the start and end of each shift with assistance from supervisor.
Reconcile payments received and deliver receipts to Billing Team at the end of the day.
Inspect the reception area and retail space for neatness.
Ability to convey a positive attitude in all dealings with others, whether patients or staff members.
Exhibits professionalism in dress and behavior at all times.
Other duties as assigned.
Qualifications & Experience Required:
Previous experience in customer service and front desk.
Experience in aesthetics, dermatology, cosmetology, and/or healthcare industries preferred, but not required.
