General Summary:

The Purchasing Coordinator is responsible for managing the acquisition of goods and services for the organization, ensuring cost-effectiveness, quality, and timely delivery. This role involves sourcing suppliers, negotiating contracts, maintaining inventory levels, and analyzing market trends to optimize purchasing decisions. Additionally, the Purchasing Coordinator serves as a key liaison between the Procurement and Accounts Payable departments, ensuring materials are ordered, received in good condition, invoices are processed efficiently, and costs are properly coded for accounting purposes.

Essential Job Functions:

Conduct price, specification, and delivery date comparisons to determine the most competitive and reliable vendor bids.

Prepare purchase orders and distribute copies to suppliers and relevant departments.

Monitor and track orders from the point of purchase through final delivery, ensuring accuracy and timeliness.

Investigate and resolve order discrepancies, including issues related to invoices and shipments.

Request vendor invoices for delivered goods, ensuring prompt submission to Accounts Payable for processing.

Maintain and update vendor records, including manufacturer lists and key contacts.

Prepare, maintain, and review purchasing files, reports, and price lists to support procurement decisions.

Generate shipping labels and bill of ladings (BOL) for outbound shipments.

Manage the filing of shipping claims, working directly with carriers to resolve disputes and secure payments.

Develop inventory count sheets and collaborate with warehouse teams to conduct quarterly stock audits.

Review and code shipping costs to ensure proper allocation within financial systems.

Perform data entry tasks within enterprise resource planning (ERP) software, spreadsheets, and other relevant systems.

Desired Knowledge, Skills, or Abilities:

Proficiency in Microsoft Office applications (Excel, Word, Outlook).

Strong organizational skills and ability to thrive in a fast-paced environment.

Excellent time management and multitasking abilities.

Sharp attention to detail and strong communication skills.

Education and Experience:

High school diploma or GED. Associate’s degree or higher in Business Administration, Office Management, Procurement, Logistics, or a related field.

Two or more years of experience in a purchasing or procurement-related role.
