Delta 360 Energy is seeking a Financial Operations Director for our corporate office. The ideal candidate will have the drive and personality well suited to integrate into our management team and effectively lead the internal group that is critical to the smooth function of our important Order-To-Cash process.
ESSENTIAL DUTIES AND RESPONSIBILITIES
· Lead the Customer Service Representatives team to ensure smooth co-ordination with the efforts of the sales team,
· Lead the Dispatch team,
· Oversee the Billing and Collections functions,
· Manage the Inventory function,
· Provide oversight of the company's Order-To-Cash process to minimize unbilled / unposted A/R, improve turnover, moderate cost and enhance overall efficiency,
· Work with the Accounting Department to ensure that internal financial reporting is timely, complete and accurate,
· Assist with periodic audit efforts from both the company's external and bank auditors when needs arise for information related to the incumbent's areas of responsibility,
· Participate in the month-end close process to facilitate timely financial reporting.
The incumbent will also be expected to see that:
· downline team members understand their own roles and responsibilities,
· job descriptions are clear and complete so that the team is clear on expectations,
· cross-training is established to make sure that knowledge of how best to perform responsibilities is understood and shared, and that
· trained back-up within the team is in place so that mission-critical tasks always have adequate coverage in the event that the person with primary responsibility for a particular task needs to be out due to illness, vacation, etc.
For the company's Order-to-Cash Process (“OTC”) to function smoothly, the team led by the Financial Operations Director must be able to consistently generate sales tickets that are correct and complete, which should then flow into properly prepared invoices submitted to the customer in a seamless, straightforward & timely manner, that then convert into the billed Accounts Receivable base.
Invoices and statements submitted to customers must conform to the terms and requirements set forth in each associated Master Service Agreement that outlines how we are to price, deliver and bill for our products and services to different customers.
The OTC cycle is impacted by the sales rep, CSR, dispatch, driver, branch resource(s), maintenance, ops manager, billing, and when invoices not timely paid, then collections.
In concert with the Operations team, the Financial Operations Director is expected to see that all fundamental elements of the Order-To-Cash process are working properly, which include:
1. Order capture,
2. Order entry into the company's system / books,
3. Order provided to dispatch,
4. Dispatch entry of the order into the day's schedule,
5. Coordinate and dispatch drivers based upon supplier cost data to ensure cost-efficient routing, adherence to contract terms, and maximized operational profitability,
6. Dispatch's issuance of instructions to the driver,
7. Delivery of the product by the driver to the customer, which gets acknowledged via a signature / stamp from a customer's authorized on-site representative,
8. Return of required paperwork confirming delivery & acceptance by customer,
9. Issuance of the invoice and billing appropriate charges out to the customer,
10. Collecting the customer's payment of the invoice within the time allotted by MSA,
11. Dealing promptly with any bills not paid in accordance with terms agreed upon by the customer through active and timely collection efforts.
The overall goal of the Financial Operation Director position is to make the company's Order-To-Cash cycle work in as simple, straightforward, efficient and consistent a manner as possible within the constraints of the business. Requirements:
· Bachelor's degree in accounting or a closely related field,
· 5+ years of relevant work experience,
· Ability to work independently with little direct day-to-day supervision,
· Strong accounting, analytical & computer skills with consistent attention to details
· Good organizational skills, along with the ability to effectively multi-task,
· Ability to work across job functions and co-ordinate efforts with operational peers,
· The ability to communicate effectively with employees, peers and management.
