Position Overview
We are seeking an experienced, organized, and tech-savvy Executive Assistant to provide top-tier support to our executive leadership. The ideal candidate will have at least five years of experience in a fast-paced, digital-first environment, with the ability to seamlessly manage calendars, communications, special projects, and event logistics. You’ll be a key partner in driving day-to-day operational efficiency, internal coordination, and executive focus.
Key Responsibilities:
Executive & Administrative Support
Manage complex calendars, scheduling meetings, appointments, travel, and briefings
Prepare executive materials, meeting agendas, and follow-up action items
Screen emails and manage priorities for incoming communications
Assist with board and investor communications and documentation as required
Project & Operations Support
Track project timelines, deliverables, and milestone completion with cross-functional teams
Coordinate with internal departments to ensure priorities stay on track
Organize and maintain digital files, shared drives, and documentation for executive projects
Liaise with vendors, contractors, and service providers when needed
Event Planning & Coordination
Organize internal events, team off-sites, board meetings, and client-facing engagements
Oversee logistics such as venue booking, travel, catering, and presentation materials
Support leadership with key conferences and executive appearances
Digital & Tech Proficiency
Confidently use productivity platforms (e.g., Google Workspace, Zoom, Slack, Notion, Asana, Jira, etc)
Create polished documents, decks, and internal updates
Maintain subscription services and digital tools essential to business operations
Ideal Candidate Profile:
5+ years experience as an Executive Assistant or similar role in a tech-forward, entrepreneurial environment
Highly organized, detail-oriented, and proactive with a "no-task-too-small" mindset
Proven experience managing fast-moving calendars and high-stakes schedules
Strong communication skills—both written and verbal—with discretion and confidentiality
Comfortable in an evolving, startup-like culture with multiple priorities and frequent change
Experience managing events and coordinating cross-functional stakeholders
