Controller

Our client, a full-service architectural firm, is seeking a Controller to oversee the company’s day-to-day, monthly and year-end accounting, resourcing, and related functions, including:
Financial:
Maintain financials (with input and direction from firm’s CPA)
Reconcile accounts
Prepare journal entries
Prepare annual financial budget and monthly comparison reports
Update bank data daily
Projects: establish financial plan based on Agreement(s) with Client; Invoicing; Accounts Receivable / Accounts Payable; Create POs if needed; MWDBE / HUB Monthly Reporting
Pay all bills (project and non-project related)
Credit Card Data – update weekly or bi-weekly; track reimbursables by Items; reconcile monthly and pay
Operations: Provide an effective internal control environment, including:
Work with the operations and project management teams to ensure proper project financial documentation, budget controls and profitability
Manage employee time tracking in the office software (currently Projector): open projects and project categories in the software; enter project financial plans based on project fees, schedule and manpower assignments; monitor time entries for completion; generate utilization reports and reports to track project financial progress.
Manage payments for principals’ architectural licenses.
Manage all MWDBE / HUB certifications in all locations: applications, renewals, payments etc.
Communicate inconsistencies, problems, and recommendations to management’s attention
Human Resources: Assist with procedural HR issues including:
Process payroll and payroll tax filings (will be trained by firm’s CPA who is currently handling payroll)
Handle PTO reporting per pay period
Coordinate employee insurance and retirement benefits
Process changes in the payroll and benefits systems
Track and pay employee expense reports
Run employee utilization reports
New Employee onboarding
Maintain employee information in HR software (currently Bamboo)
Requirements:
Strong accounting background with 5+ years’ experience. CPA preferred
Strong organizational skills
Proficiency in Excel, QuickBooks, and Microsoft Office suite
Familiarity with BQE Core and/or Monograph a plus, but not mandatory
Interest and ability to learn new software
