Position Overview:

VOW Transportation is seeking a highly organized and detail-oriented Administrative Assistant to support the Project Reconnect Program, which provides essential services to individuals and families transitioning from homelessness to stable housing. The Administrative Assistant plays a vital role in supporting program operations through efficient clerical, administrative, and project support tasks. This position requires strong organizational skills, the ability to manage multiple priorities, and a

commitment to providing excellent internal and external customer service.

Key Responsibilities:

Provide day-to-day administrative support to Project Reconnect staff and leadership.

Manage scheduling, calendar coordination, and meeting logistics for the program team.

Maintain accurate and organized files, records, and databases (electronic and paper).

Prepare, edit, and distribute correspondence, reports, and meeting minutes.

Answer and direct incoming calls and emails; assist clients, partners, and stakeholders professionally and promptly.

Support program data entry, report generation, and basic data analysis tasks.

Process supply orders, manage inventory, and ensure office materials are stocked and available.

Assist with the organization of program events, training, and workshops.

Track deadlines, project milestones, and ensure timely submission of required reports and documentation.

Perform other administrative duties and special projects as assigned

Qualifications & Requirements:

High School Diploma or GED required; Associate’s degree or higher preferred.

Minimum of 2 years of administrative support experience, preferably in human services, nonprofit, or government settings.

Strong organizational and multitasking skills with attention to detail.

Excellent written and verbal communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with database systems.

Ability to maintain confidentiality, handle sensitive information, and demonstrate professionalism.

Strong interpersonal skills and ability to work effectively with diverse populations.

Flexibility and adaptability to shifting priorities in a fast-paced environment.

Compensation:

Salary Range: 60-80K

May be eligible for an annual bonus, depending on performance and funding availability.
