FULL-TIME/PART-TIME: Full-Time
SCHEDULE: Mon -Thurs - 9 hours (in-office)/Friday - 4 hours (remote)

POSITION SUMMARY: The AFE & Land Records Coordinator will work in the Land Department and report to the Manager of Land Records & Administration. The successful candidate will assist the Landmen, Land Administration Staff, the Manager of Land Records & Administration, and the Vice President of Land with various procedures in the Land department including authorization for expenditures (“AFE”), filings, records, and administrative processes.
PRIMARY RESPONSIBILITIES:
Responsible for all aspects of the Authorization for Expenditure (“AFE”) process (operated and non-operated), including coordination with engineering staff, analysis of Bolo land software data and working interests’ data, input into P2 AFE software system, coordination with Joint Interest Billing Accounting Group, approval tracking, docket management, meeting scheduling and conference room reservations, partner communications, executive and management level reporting and notifications.
Bolo Maintenance: Coordinate and maintain JIB Expense Decks (including Poopsheet Process coordination with DOI analyst, Landmen, VP Land, etc. for distribution to all Departments and for updating all internal records to maintain SOX compliance, etc.), Payout Tracking, Name and Address Setup/Changes, Update/Add Reservoir Data
Improve and maintain the integrity and dependability of the existing Land Department filing system, including physical file room, offsite file storage, and electronic files. Set up and maintain new files upon acquisition or other accretive transactions and facilitate transfers of data/files upon divestitures or other sales processes.
Map, maintain, log, track, and monitor Confidentiality, Area of Mutual Interest Agreements, and other similar contractual obligations. Accurately inform Landmen, and other departments of existence of obligations and provide copies of relevant agreements.
Maintain, update, and circulate all Land Department Area Responsibility Lists/Reports and associated maps, including collaboration with GIS, and other department, staff as needed.
General office duties including but not limited to, notary services, copying, scanning, filing documents on the f: drive, all incoming/outgoing mailing, FedEx, couriers, drafting, and typing correspondence as assigned, expense report preparation, office supplies, etc.
Coordinate, and provide materials for, Land Department meetings.
KNOWLEDGE, EDUCATION & EXPERIENCE:
Bachelor's degree preferred or 2+ years experience working in a publicly traded company or oil & gas company
Experience with Bolo and P2 (or similar) land/AFE software preferred.
Active commissioned State of Texas Notary preferred.
Flexibility, multi-tasking, problem-solving, time-management and organization skills required.
Detail-oriented accuracy and reliability with input, copying, filing and other needed assistance.
Written and verbal communications skills; excellent customer service skills with internal and external parties.
Proficiency with software applications such as Microsoft Word, Outlook, and Excel.
Ability to work independently with little or no supervision and to work as a team member within the Department.
