Job Summary:
We are seeking a detail-oriented and organized Office Assistant to support our accounting operations with a focus on Accounts Receivable (AR) and Accounts Payable (AP). This position plays a key role in ensuring smooth financial transactions and supporting the day-to-day office functions in our busy semi-truck repair shop. The ideal candidate will have strong communication skills, basic accounting knowledge, and experience working in a fast-paced, service-based environment. Key Responsibilities:
Accounts Receivable (AR):
Follow up on outstanding invoices and manage collections in a professional manner.
Apply incoming payments (checks, ACH, credit card) to appropriate accounts in QuickBooks or similar accounting software.
Maintain accurate AR records and communicate discrepancies with customers or internal teams.
Accounts Payable (AP):
Review and verify vendor invoices, match with purchase orders and receiving documents.
Ensure timely payment of bills and maintain accurate payment records.
Monitor vendor accounts and resolve any discrepancies or billing issues.
Reconcile monthly statements and support month-end close processes.
General Office Duties:
Answer phones, greet customers, and provide general administrative support.
Assist in maintaining organized digital and physical filing systems.
Track times for technicians.
Help track shop supplies.
Coordinate with the shop team to ensure billing aligns with repair orders. Qualifications:
High school diploma or equivalent required; coursework in accounting or business preferred.
1–3 years of experience in accounts receivable/payable or similar office support role preferred.
Experience with QuickBooks (or comparable accounting software) strongly preferred.
Proficiency in Microsoft Excel, Word, and basic office software.
Strong attention to detail, organizational skills, and ability to manage multiple priorities.
Experience in automotive, trucking, or repair industries is a plus. Working Conditions:
Office environment located on-site at the repair shop.
Occasional interaction with technicians, parts suppliers, and customers.
Monday to Friday schedule, with occasional flexibility depending on workload.
