Job Description
Key Responsibilities:
Organize and maintain both physical and digital filing systems
Scan, name, upload, and store documents in accordance with company protocols
Retrieve and distribute files to staff upon request
Monitor and manage document retention schedules, purging outdated records as appropriate
Maintain consistency in digital file naming conventions and folder structures
Ensure proper handling of confidential information and support compliance with data protection standards
Assist with document preparation for audits, inspections, or legal matters
Support general office functions including data entry, copying, and mail handling
Keep file storage areas clean, orderly, and well-labeled
Recommend improvements to enhance efficiency and accessibility of file systems
Answer the main office phone line and route calls to the appropriate team members in a professional manner
Qualifications:
Prior experience in administrative, clerical, or document management roles preferred
Excellent organizational and time management skills
Proficient in Google Drive and/or Microsoft Office; ability to learn document management systems
Strong attention to detail and accuracy
Ability to work independently and maintain confidentiality
Bilingual in English and Spanish is a plus, but not required

Requirements and Expectations:
Work Hours: Full-time, 40 hours per week
Attendance: Must be on-site and ready to work by 8:00 AM daily
Requirements: Must pass a criminal background check and drug test; minimum 650 credit score required
