The Contract Administrator is responsible for the management of a variety of commercial contracts, primarily focused on direct sales agreements, while also supporting other contracts.
Essential Job Functions
Contract Administration
Manages a variety of commercial contract matters under the supervision of senior-level managers and/or senior counsel, depending on the nature of the task.
Requires the application of independent judgment and discretion in drafting, reviewing, negotiating, and interpreting contract terms to align with business objectives and mitigate risk.
Drafting or reviewing of contracts (primarily Sales Agreements while also supporting other agreements, including NDAs, Supply Agreements, OEM Agreements, etc.), and potentially other legal documents, incl. proofreading and corrections.
Serves as a primary point of contact and subject matter expert on contractual matters for Direct Sales team, providing expert guidance and interpretation of contract terms.
Manages the direct sales contracting process to ensure rapid and efficient response times.
Proactively troubleshoots and identifies potential issues and proposes creative solutions.
Develops and implements improvements to the contract management process, including templates, workflows, and guidelines, to enhance efficiency and accuracy.
Oversees the accurate maintenance of contract records and utilizes contract management systems.
Generates reports and provides analysis on contract data to support business decisions.
Legal Administration
Provides administrative support to the legal department on tasks directly related to contract management.
Undertakes tasks and duties as required that are aligned with the strategic management of contracts.
Supports document retention for contract documents (including organize and maintain documents in a paper or an electronic filing system, and contract lifetime management)
Communication, including E-mail and/or answering phones and taking messages, and any other communications with outside professionals (mainly law firms.)
Organize and attend legal meetings related to contracts. Responsible for taking meeting minutes (with/without outside professionals).
Perform general support for the legal department including clerical duties.
Any other duties or task required related to legal and contracting processes.
Minimum of five years of contract administration experience working with a medical device, medical equipment, or a pharmaceutical company.
Paralegal certificate or another contract management certificate preferred.
Working knowledge of relevant laws, regulations, guidance and industry codes related to the medical/pharmaceutical industry,
Proven abilities for multi-tasking and time management for daily activities
Excellent written and verbal communication skills
Extensive computer skill for MS Office and contract management software and systems
Organization skills
Strategic thinking, Ethical conduct, Personal effectiveness, Credibility, Thoroughness.
Ability to work independently
Japanese Bilingual a plus
