Position Summary

TF Cornerstone is seeking a Lease Administration and Collections Coordinator to support the commercial leasing team across a portfolio of retail and industrial properties in New York. This role is responsible for managing the full lease administration process, ensuring accurate billing, and overseeing collections activity. The Coordinator will also assist with other assets in the TFC Commercial portfolio as needed and provide coverage within the department during team absences. Responsibilities may shift based on business needs.

Key Responsibilities

Lease Administration

Abstract leases and amendments, enter data into MRI, and confirm charges such as rent, escalations, utilities, and deposits

Submit new lease packages to Accounting and coordinate lease commencements and terminations

Maintain and update tenant accounts in the Tenant Portal and assist with account access

Track and report retail and parking tenant gross sales on a monthly basis

Conduct regular lease audits and verify billing accuracy

Process monthly billbacks, credits, and recurring charges

Support annual budgeting by reviewing lease terms and confirming billing alignment

Maintain internal tracking for critical dates, notice provisions, and guarantor obligations

Review tenant improvement reimbursements and manage purchase orders in Nexus

Prepare estoppels, SNDAs, and other lease-related documents as needed

Coordinate with internal teams to resolve lease-related issues and maintain compliance

Collections

Monitor tenant accounts and follow up on outstanding balances

Reconcile ledgers and apply payments, credits, and late fees per lease terms

Prepare and distribute bi-weekly delinquency reports; review status with the Retail team

Investigate billing disputes and communicate directly with tenants

Draft default letters and prepare liability summaries for tenants and guarantors

Coordinate move-out reconciliations and security deposit returns

Support collections for additional asset classes when needed

Qualifications

Bachelor’s degree in Real Estate, Finance, or a related field

Strong attention to detail and excellent organizational skills

Ability to manage multiple priorities and meet deadlines

Effective communication and customer service skills

Analytical mindset with strong problem-solving ability

Proficient in Microsoft Word, Excel (pivot tables, lookups), and Adobe Acrobat

Experience with MRI and Nexus is a plus

Compensation

The anticipated annual base salary range for this position is $80,000 – $85,000 per annum, commensurate with experience and qualifications.
