DESCRIPTION

Responsible for providing comprehensive administrative support to the finance department, including managing financial records, oversight of T&E system, preparing reports, coordinating meetings, handling correspondence, and performing general office duties, ensuring smooth day-to-day operations within the finance team.

DUTIES AND RESPONSIBILITIES:

Oversight of time and expense entry and reports, ensuring accuracy and timely submission.

Maintaining financial records and data rooms, including data entry and reconciliation.

Assisting with budget preparation and tracking, generating reports as needed.

Coordinating meetings for finance leadership and other members of the management team.

Coordinating travel arrangements for finance leadership and other members of the management team.

Track and reconcile travel expenses and budgets.

Prepare and submit expense reports, ensuring accuracy and compliance with company policies.

Preparing and distributing meeting agendas and minutes.

Filing and maintaining important financial documents.

Ordering and managing inventory of office supplies for all Little Leaf greenhouse locations

Draft and distribute communications on behalf of the finance team.

Generating financial reports and presentations as required.

Analyzing financial data to identify trends and potential issues.

Ensuring adherence to company financial policies and procedures.

Maintaining accurate financial records for audit purposes.

REQUIRED EDUCATION, EXPERIENCE, AND SKILLS:

Bachelor's degree in business, finance, or related field preferred; at least 2 years of college experience required

3+ years professional work experience required

PREFERRED EDUCATION, EXPERIENCE, AND SKILLS:

Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint)

Experience with accounting software (e.g., NetSuite)

Familiar with data room management, corporate data room and indexing

Professional and executive presence

Highly trustworthy, discreet and able to manage confidential and proprietary information

Excellent attention to detail and accuracy with numbers

Strong organizational and time management skills

Excellent oral and written communication and interpersonal skills

Ability to prioritize tasks and meet deadlines

Spanish language skills are a plus

Must be willing to travel approximately once a quarter for off site meetings.
