General Mission and Summary of Position:

The Office of the Registrar is the official keeper of academic records and is committed to the highest level of service. We are responsible for registration services, scheduling, academic progression, graduation, administrative operations and reporting. As a primary information resource for students and faculty, this office actively seeks ways to effectively communicate and to inform students of their rights, responsibilities and academic procedures in an effort to support students’ success.

In collaboration with the Assistant Registrar, this position will work with Academic Departments and Academic Student Services to support the academic progression of students and timely degree completion. This position will be a member of the academic progression team which focuses on building efficiency and utilizing technology to support the development of the advising report, graduation tracking and faculty and staff professional training.

In addition, the position will be responsible for working with academic departments to monitor students' progress in certificate programs to support timely completion and to aid in compliance with Financial Aid Regulations related to students in certificate programs, manage imaging processes and oversees student workers in the absence of the Administrative Assistant to the Registrar.

• Assist with comprehensive commencement related processes, ensuring timeliness and accurate processing as related to graduation applications and assist with posting honors, transcript request generation, graduation clearance and transfer credit processes, graduation follow up processes, resolving any academic, degree, honor related discrepancies and bulletin development.

• Manage degree distribution, enter degree notifications to students and enrollment and graduation statuses verifications including via Degree Verify system to National Student Clearinghouse.

• Participate in daily operations of the Commencement Committee, including the formulation of commencement semester calendars, developing timelines for and supervising the completion of various projects such as bulk mailings and degree production. Facilitate and maintain an inventory of degree stock, covers and honor cords. Correspond with students and faculty regarding degree requirements advice and degree requirements reports. Distribute information and perform other basic office procedures as necessary.

• Prepare, interpret and verify degree certifications and requirement audits for undergraduate and graduate-level students and advisors. Ensure degree requirements are met. Coordinate with Graduate School staff to maintain the accuracy of the Advancement to Candidacy and other forms pertaining to the graduate student, which are necessary for their graduation. Comply with and adhere to Family Educational Rights and Privacy Act when dealing with the public and university community. Process changes of majors for students changing or adding degree programs. Assist in planning and provides active participation in the annual commencement ceremony.

• Inform, interpret and consult with academic administrators, faculty, staff and students concerning specific degree requirements. Provide an interpretation of academic regulations and academic requirements for students as they relate to course requirements. Serve as an expert specialist for all graduation inquiries for all departments.

• Facilitate MyClaflin tutorials and oversee and set day-to-day guidance, training and direction for staff (students and colleagues).

• Research, analyze, and resolve student disputes as they relate to records and registration.

• Coordinated every aspect of the Academic Advising Module. Responsible for the additions and deletions of academic advisors, upkeep of the module and allowing permission to departments to assist with additions for particular departments.

• Ensuring GoArmy Ed and any of military entities are completed at the end of the semester with submissions of grades within the timeframe outlined.

• Coordinator of Athletic Compliance for Claflin University Athletics Department.

• Coordinate with the Office of Admissions, CPCS, Graduate School Coordinators and other departments to retrieve original student files for the Office of the Registrar.

• Serve as alternate to Registrar staff colleagues during periods of vacancies, vacation, and illness.

• Shared responsibilities with Academic Registration and Transfer Specialist within transcript processing. Responsible for day-to-day processing of a specific alphabet within transfer processing to include standard, express and rush processing.

• Shared responsibilities with Academic Registration and Transfer Specialist within transfer evaluation processing. This responsibility will be making sure evaluations are retrieved from departments and once completed, uploaded to the Transfer Evaluation Electronic folder.

• Other duties as assigned by the University Registrar.

Qualifications

Bachelor’s Degree and a minimum of 3 years of higher education experience or an Associate’s Degree and a minimum of 5 years related experience in higher education will be consider. Knowledge and experience of academic policies, academic advising reporting and graduation clearance, experience with Jenzabar or other student information systems, InfoMaker reporting, Microsoft Word, Excel, Access, and Document Imaging software are preferred.
