Empass Healthcare is seeking a highly organized and detailed Executive Administrative Assistant, who will be a key figure in providing support and structure to the CEO. This is an opportunity to join a fast-paced and engaging team to assist with diverse projects as we build our footprint in the medical space.

Requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provide administrative support to the CEO with the highest level of integrity and professionalism
Maintain and update multiple calendars, prioritize time sensitive and urgent meetings
Perform travel arrangements and reservation as needed
Exercise independent judgment in the resolution of administrative problems
Prioritize and manage multiple projects simultaneously with lots of ambiguity and little to no supervision, while quality is not sacrificed
Facilitate and foster relationships among C-Suite employees, Directors, and outside constituents
Coordinate department meetings: compose agendas, memos, take meeting minutes, and transcribe notes
Manage and handle confidential information in a timely fashion while maintaining discretion
Establish and maintain relationships with outside entities and vendors such as Insurance providers
Develop relationships with various departments in coordination of special events, programs, and administrative procedure
Receive and track relevant paperwork and electronic documents, including new agreements
Review and prioritize response to calls and emails, when appropriate
Other duties may be assigned as needed
Candidate will assist the CEO managing all professional and personal contacts and activities.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:
Excellent verbal and written communication skills, including ability to effectively communicate with internal staff and external clients
Proficient in Microsoft Office Programs (MS Office – Word, Excel, and Outlook)
Must be comfortable with technology
Must be able to:
Work under pressure and meet multiple deadlines, while maintaining a professional demeanor
Work independently and to conduct assignments to completion within parameters of instructions

Travel 70/30 when requested
REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS:
Associates degree with 5-8 years of related experience, or bachelor’s degree with 5 years of related experience working with C-level executives
Project Management experience, 3-5 years preferred
Experience with scheduling tools including artificial intelligence (A.I.) systems.
Experience with Social Media (Twitter (X), Instagram, Facebook, LinkedIN)
Experience with employer systems, similar to Paylocity, ADP, Sage
The ideal candidate must have experience, superb organizational skills, thrive in a collaborative environment and multi-task
