Job Description
We are seeking an Office Assistant for the Property Manager to become a part of our team!
Responsibilities:
Assist with preparation and distribution of annual budget mailing materials, Owner communications, and BOD meeting materials.
Process account payables to include proper organizing and coding of, facilitate and process recurring/auto-pay, research past due bills, check requests, obtain signatures and release checks
Process account receivables to include coding of deposits, adding charges to account, correctly process checks and payments towards delinquent collections accounts.
Receive and process maintenance / service requests and track work orders.
Receive incoming client and vendor calls, take appropriate action as needed and keep the Board informed.
Assist with collection of monthly Association dues and ACH information.
Assist in maintenance of homeowner association files and necessary changes to contact information in management software (to include consolidation of old and new files)
Maintain homeowner accounts and files to include processing of late charges, non-sufficient funds, mailing intent to lien notice letters, account research, forwarding information for liens to the attorney, mailing statements, etc.….
Create reports (landscape, boating, dry storage, work orders, delinquencies, violations) out of the management software.
Assist Board on any special projects.
Assist in the enforcement of the Association Bylaws, CC&Rs, Rules and Regulations and Architectural guidelines.
Assist with the clean-up and organization of clubhouse and pool areas for events when necessary.
Register new residents, assign gate access devices, pool fobs, etc.
Manage clubhouse rentals – scheduling, agreements, etc.
Maintain the Door King gate, clubhouse, and pool access system.
Assist boating committee with applications, data entry, etc.
Other duties as assigned by the Board of Directors and/or Property Manager
Qualifications:
Detailed oriented
Ability to build rapport with residents
Ability to multitask and prioritize
Excellent written and verbal communication skills
Proficient in Microsoft Office
Experience with Accounts Payables and Accounts ReceivablesCompany Description
Our community of Yacht Cove is located approximately 15 miles northwest of downtown Columbia, SC on beautiful Lake Murray. We are 15 minutes from shopping and restaurants at Columbiana Mall in the Harbison area. We have a staff of 3 that report to the Property Manager, who reports to the Board of Directors.
