We are currently seeking a dynamic and highly-experienced Office Manager to join our thriving construction company. This is a permanent, full-time position that offers the opportunity to play a pivotal role in our daily operations and long-term growth. You will be the backbone of our team, ensuring that all administrative tasks are handled efficiently and effectively. Your role will involve a range of tasks including financial management, staff coordination, and liaising with clients. Your success in this role will be instrumental in ensuring the smooth operation of our business.

Responsibilities:

1. Oversee and manage all office procedures and processes to improve operational efficiency.

2. Handle all financial transactions including Accounts Payable (AP) and Accounts Receivable (A/R) ensuring accuracy and timeliness.

3. Coordinate with various departments and team members to ensure seamless communication and efficiency.

4. Develop and implement new administrative systems to streamline operations.

5. Manage and maintain company databases and customer relationship management systems.

6. Coordinate and plan meetings and appointments, and manage staff schedules and calendars.

7. Liaise with clients, suppliers, and business associates.

8. Ensure all office supplies and inventory are adequately stocked and managed.

9. Handle HR duties including recruitment, onboarding, and training.

10. Ensure compliance with all health and safety regulations within the office.

Qualifications:

1. A minimum of 5 years’ experience in an office management role, preferably within the construction industry.

2. Proficient in managing AP and A/R with a strong understanding of financial reporting and budgeting.

3. Excellent organizational skills with the ability to prioritize tasks and work under pressure.

4. Strong leadership skills with the ability to motivate and manage a team.

5. Excellent communication skills, both written and verbal.

6. Proficient in using office software including MS Office (Word, Excel, Outlook) and project management software.

7. Experience in HR management including recruitment, onboarding, and training.

8. Knowledge of health and safety regulations within an office environment.

9. Demonstrated ability to implement new procedures and administrative systems.

10. A proactive approach with the ability to work independently and make decisions.
