Role Overview:
As an Administrative Assistant with expertise in Telecommunications and Outside Plant Construction, you will be a key support figure within our team, helping to streamline operations, maintain efficient processes, and ensure that our construction projects run smoothly. You will be responsible for handling administrative tasks that involve document management, project coordination, scheduling, and communication between various departments and stakeholders. Key Responsibilities:
Project Coordination Support: Assist project managers and construction teams by providing administrative support for outside plant construction projects, including scheduling meetings, managing timelines, and ensuring that project documentation is up to date.
Documentation & Reporting: Prepare, organize, and maintain all necessary project documentation, including contracts, change orders, invoices, and project progress reports. Ensure compliance with industry standards and company policies.
Communication & Correspondence: Serve as a liaison between the project team, vendors, clients, and subcontractors, ensuring effective communication across all project phases. Handle phone calls, emails, and other forms of correspondence in a professional and timely manner.
File Management: Maintain an organized filing system for project-related documentation, ensuring easy access to important files and information. Digitize and catalog documents as required.
Meeting Coordination: Schedule and organize meetings, site visits, and conference calls for the project teams. Take minutes during meetings and follow up on action items.
Procurement & Inventory Management: Assist in the procurement process for materials, supplies, and equipment. Track inventory and maintain records of project-related purchases.
Travel & Logistics Support: Coordinate travel arrangements for field teams and executives, including transportation, accommodations, and scheduling.
Office Administration: Perform general office duties such as answering phones, ordering office supplies, maintaining office equipment, and assisting with other administrative tasks as needed.
Quality Control & Compliance: Ensure that all administrative tasks and project documentation comply with legal, safety, and industry standards, and assist with audits or inspections as necessary.
Continuous Improvement: Suggest and implement improvements to administrative processes that will enhance efficiency, reduce costs, and improve overall project support.
Key Qualifications:
Experience: A minimum of 3 years of administrative support experience, with a focus on telecommunications, outside plant construction, or a related industry. Familiarity with construction project lifecycles and associated documentation is essential.
Industry Knowledge: Understanding of telecommunications networks, fiber optic systems, outside plant construction processes, and associated terminology is highly desirable.
Organizational Skills: Exceptional organizational abilities, including managing multiple tasks and deadlines in a fast-paced environment. High attention to detail is a must.
Communication Skills: Strong written and verbal communication skills. Ability to interact effectively with internal teams, external clients, contractors, and vendors.
Technical Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with project management software or construction management tools (e.g., Procore, Buildertrend) is a plus. Familiarity with customer relationship management tools (e.g., Salesforce, HubSpot)
Problem-Solving Abilities: Resourceful and proactive in resolving administrative issues, ensuring smooth project operations without unnecessary delays.
Education: High School diploma or equivalent required; Associate's degree or higher in Business Administration, Telecommunications, or a related field is preferred.
Certifications: Any relevant administrative or construction certifications (e.g., PMP, construction administration) would be a plus.

Requirements:
1. Bachelor’s degree program, preferably in Business Administration, Telecommunications, Engineering, Construction, Marketing, Communications, a related field, recent graduate or equivalent industry experience.
2. Must be 18 years of age or older, a US citizen, Eligibility to work in the US and be able to show proof of citizenship.
3. Must have a clean criminal background.
