2024/2025 salary range: $15.50 to $25.50 per hour
SUMMARY OF PURPOSE
This position is responsible for administrative, secretarial, and clerical duties to support the building principal and
provides a broad array of services to students, parents, instructional and support employees for the purpose of
ensuring the efficient and effective functioning of the school building and district.
ESSENTIAL JOB FUNCTIONS
1.Be cooperative, congenial, and service-oriented with a positive attitude.
2.Greet and screen persons entering the building and notify appropriate individuals regarding visitors.
3.Monitor and respond to telephone calls, mail, and e-mail. Monitor and respond to bus radio and other
school communication devices
4. Schedule meetings and appointments, maintain calendar, and make travel arrangements for school
administrators and other school personnel as assigned by the administrator.
5. Oversee student dismissal plans including maintenance of accurate records to ensure student safety.
6. Utilize student information system for student and staff information reporting and scheduling.
7. Oversee preparation and distribution of correspondence.
8. Maintain accurate documents, files, and records for the purpose of providing up-to-date reference and
reporting. Monitor/report on student/staff attendance and absences including parent letters.
9. Assist in planning and scheduling school events and activities.
10. Collaborate with central registration and transportation offices to ensure timely, accurate student
enrollment process.
11. Prepare, process, track, and follow-up on purchase orders using the District adopted procedures and
software. This includes, but is not limited to assigning budget codes, monitoring account balances, ensuring
payment of purchase orders, etc.
12. Assist in monitoring, securing, and reconciling substitute coverage for teachers and aides, including
building substitute assignments.
13. Order, maintain, and manage inventories of supplies and materials.
14. Initiate calls for service to the appropriate District departments, as well as outside vendors.
15. Evaluate situations for the purpose of taking appropriate action and/or directing to appropriate personnel
for resolution.
16. Assist with orientation of new staff/department members.
17. Maintain proficient skill set in technological tools including, but not limited to: student information system,
absence management system, time reporting systems, purchase order and financial management system,
district website and webpage management, etc.
18. Other administrative duties, including but not limited to: filing, copying, scanning, flyer distribution, bulletin
board maintenance, electronic school sign maintenance, and key inventory/requests.

OTHER ESSENTIAL DUTIES
Language Skills: Ability to read, analyze and interpret written and verbal information. Must demonstrate
effective communications with, and respond in a timely manner to, questions from groups of
administrators, staff, parents, students, and the general public.
Mathematical Skills: Ability to work with and apply mathematical concepts such as fractions, percentages,
ratios, and proportions to practical situations.
Reasoning Ability: Able to solve practical problems and deal with several variables at once. Ability to
interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Other Required Skills and Abilities: Perform duties with awareness of all District requirements and Board
of Education policies.
SCOPE AND IMPACT
This position accomplishes most tasks through standard procedure, exercising independent judgment when
necessary. High-level contacts of a complex and confidential nature, both inside and outside the school district, are
made. Internal contacts include district office staff, district administrators, teachers, students, and classified staff.
External contacts include parents, community members, school board members, and any other business or school
related entities.
KNOWLEDGE & SKILL REQUIREMENTS
Minimum high school diploma or other equivalent (e.g. GED, technical, trade school, or foreign equivalency).
Minimum of three (3) years of experience in an office setting involving the responsibility associated with office
management, preferably in an educational environment. This position requires knowledge of software such as
word processing, spreadsheets, databases, email, scanning, and various web-based applications. Confidentiality
and attention to detail are essential.
The following clearances must be provided upon hire and updated every five years in accordance with Act 153: PA
State Police-Act 34, Child Abuse- Act 151, and FBI Fingerprint-Act 114. Child Abuse training (or proof of completion)
in accordance with Act 126 upon hire and repeated every five years thereafter. A negative TB test and physical is
required upon hire.
