JOB SUMMARY
The Human Resources Coordinator is responsible for performing a variety of HR functions including but not limited to compliance tracking, answering inbound HR calls, I-9 compliance, and follow through of branch-related operational compliance. This role is also responsible for the processing of employee files throughout employment, filing employee documents, verification of employments, monthly reporting, and other duties as requested.
JOB SPECIFIC FUNCTIONS
New Hire
Initiates the new hire process, communicating updates with appropriate managers.
Processes background check and drug testing for each new hire.
Receives President’s written approval for the new hire.
Coordinates orientation of new staff with new hire and training department.
Emails welcome email to new hire, along with new hire information.
Prepares required paperwork for new hires and establish staff personnel files.
Enters each new hire into all applicable internal systems.
Benefit Administration
Ensures timely set up and termination of employee benefits, as elected within the carrier/banking systems. Informs payroll department of any temporary employee that terminates who had elected benefits.
Completes the monthly enrollment process for temporary staff per company policy. Ensures the carrier receives enrollment paperwork and payroll department is notified.
Reviews and reconciles health insurance carrier statements as needed.
Unemployment
Processes unemployment requests in a timely manner.
Uploads state issued determinations into tracking system on a weekly basis.
Attends unemployment hearings on behalf of the company.
Maintains unemployment records in electronic unemployment system.
General Human Resources
Completes name correction requests from branches.
Files employee documents as needed.
Approves management requests timely within the HRIS system. Updates all applicable internal systems accordingly or as notified by management.
Compiles, files, and maintains personnel files in accordance with applicable laws and company policy.
Completes verification of employment requests within company policy.
Ensures all required Labor Law posters are ordered timely annually and as needed for all locations. This includes that the compliance company has all locations, and all addresses are current.
Gathers and ensures compliance with WOTC forms, provides to WOTC tracking organization on a weekly basis.
Processes staff and client requests and grievances effectively and timely.
Prepares and maintains reports necessary to evaluate data within the Human Resources and other departments.
Reviews and reconciles HR vendor statements as needed.
Acts as a backup to the department as needed.
Performs general clerical duties, including but not limited to office supply orders, creating employment-related packets, and sorting through and distributing incoming information within the organization.
General
Participates in developing department and company goals, projects, and systems.
Proactively communicates with appropriate departments on identified business concerns, providing suggestions for improvements, and assisting in effectively resolving identified issues.
Assists, creates, and/or completes tasks, duties, or projects as assigned by the HR Manager.
Follows through on tasks, concerns, issues, and projects through completion.
Maintains a professional approach to all employees and clients of the organization.
Maintains confidentiality with a high level of integrity.
Other duties as assigned.Requirements:
QUALIFICATIONS
Experience:
3 Years of Human Resources experience or a combination of education and work experience.
Working knowledge of state and federal laws and regulations.
Education:
High school diploma or equivalent required.
Bachelors degree in Human Resources, Business, or related field preferred.
Hours: Monday-Friday 8am-5pm with one weekly half day
