Job Summary:

Reporting to the Director of Retail Services, the E-Commerce and Wholesale Coordinator primarily manages the retail wholesale program, which provides WWII-inspired and custom-developed products to smaller institutions. They will additionally assist with all aspects of warehouse operations and customer service.

Responsibilities:

1. Process wholesale orders accurately and send all receipts and reports to the accounting department to generate invoices on a weekly basis.

2. Create wholesale packing lists and process wholesale transactions, communicating and managing out-of-stock items.

3. Maintain positive and professional communication with wholesale clients including outreach to potential new clients.

4. Track inventory levels and coordinate with the Director of Retail Services to replenish stock for wholesale availability.

5. Notify customers of any out-of-stock issues and maintain records to ensure proper and timely fulfillment of back-orders and pre-orders.

6. Respond to all B2B customer communications through the wholesale email address and assist with other communications submitted through the museum store email address, including forwarding non-retail communications to the appropriate department within the museum.

7. Work with the Director of Retail Services and creative team to plan and produce seasonal wholesale catalogs, gather product information, pricing, and images for inclusion in the catalog, ensure accuracy of all product listings, and act as point person with printing company. .

8. Assist when needed with all aspects of web order processing and fulfillment to ensure timely and accurate receipt of product by customers.

9. Assist wholesale and webstore customers with exchanges and returns, processing all transactions in Counterpoint.

10. Assist the E-Commerce Manager with social media marketing when needed.

11. Assist with prepping for off-site events. Staff events as needed and assist with post event breakdown.

12. Recommend procedures for improving the security and efficiency of the warehouse and the shipping operations.

13. Develop a working relationship with the store management and staff, to ensure maximum customer service.

14. Assist in physical inventories and cycle counts as directed.

15. Ensure shipping and work area is neat, clean, and organized always.

16. Learn all aspects of the cash register and store operations to be able to assist in stores as needed.

17. Be cross-trained in other warehouse positions- receiving, replenishment, and shipping.

18. Must be familiar with and compliant with all Financial Policies and Procedures that impact retail operations.

19. Undertake other duties and special projects as assigned by the AVP or Director of Retail ServicesRequirements:

Qualifications:

Minimum High School Diploma/GED or comparable work history. Some college preferred.

Able to communicate clearly and pleasantly with customers, supervisors and co-workers.

Must possess basic mathematical skills and abilities.

Must be able to learn the Counterpoint system and UPS Software.

Must be able to lift up to 50 pounds on a regular basis.

Must be able to operate, or learn to operate, equipment necessary to perform the job functions as outlined.

Must be able to complete tasks within a specified time period.

Must be willing to learn and follow established policies and procedures.

Willingness to work overtime during special events or as needed.

Experience with Adobe Photoshop, Adobe Illustrator, and DSLR Photography preferred.

Work Environment:

This job is operated in a professional warehouse environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets, as well as standard warehouse equipment such as ladders and pallet jacks.
