Position Summary:
The Administrative Assistant will play a key role in supporting daily operations across multiple departments. This position requires excellent organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. The ideal candidate will have prior experience in construction or a related industry and be comfortable handling a mix of administrative, permitting, and insurance-related tasks.
Key Responsibilities:
Provide general administrative support including document preparation, data entry, and filing.
Track and maintain insurance documentation for vendors and subcontractors.
Assist with permitting applications and ensure timely follow-up with city or county departments.
Manage lead intake process and ensure proper routing to the appropriate team members.
Prepare and format reports, memos, invoices, and other business documents.
Schedule and coordinate meetings, site visits, conferences, and company events.
Maintain calendars, book travel, and manage appointments for staff as needed.
Communicate with internal teams, clients, and vendors professionally and promptly.
Support office organization and ensure supplies and resources are adequately stocked.
Qualifications:
2+ years of administrative experience; construction or permitting experience preferred.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Familiarity with permitting processes and insurance documentation is a plus.
Excellent written and verbal communication skills.
Highly organized with strong attention to detail.
Ability to handle confidential information with discretion.
Self-motivated and able to work both independently and as part of a team.
