About the Role
Reporting to the Sr. Marketing Manager, this position is primarily responsible for supporting all Linbeck pursuits, including performing proposal planning, management, and production activities to serve Linbeck’s core market sectors. This position is also responsible for creating, updating, and tracking all necessary internal resources to ensure all assigned proposals, presentations, and qualifications packages are completed and submitted timely with a high degree of quality. As a member of the marketing team, this position will also research and write marketing materials, perform literary editing and coordinate publishing, graphics, final production, reproduction, assembly and delivery of materials. Other duties as assigned.
Skills & Qualifications
BA/BS with an emphasis on Marketing, Journalism, Media Management, and Communications with minimum of 5 years of marketing and proposal management experience in construction industry is preferred
Basic knowledge of strategic selling and key account management as it applies to proposals
Proficient skills in interviewing subject matter experts, writing, editing, grammar, spelling, and punctuation to generate well thought paragraphs
Proficient skills in MS Office (Word, PowerPoint, Excel, Outlook)
Proficient skills in Adobe Creative Suite (InDesign, Illustrator, Photoshop)
Proficient time management skills, including the ability to multi-task to meet deadlines
Proficient communication skills when reporting status and taking delegated tasks
Proficient organization skills for maintaining electronic files and planning of daily, weekly, monthly tasks
Primary Duties
Coordinate and assist in the development of proposals in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), and other client solicitations. Manage timelines, track proposal milestones, and ensure timely submission of all documents.
Work with technical teams, subject matter experts, and Client Executives to gather necessary information, project descriptions, resumes, and other supporting documentation for proposals. Tailor content to align with specific client requirements.
Review, edit, and format proposal content to ensure clarity, accuracy, and compliance with RFP/RFQ requirements. Maintain consistency in proposal tone, style, and branding throughout the submission.
Coordinate the development of proposal layouts and graphics in collaboration with the Sr. Marketing Manager. Ensure visual consistency and brand alignment across all proposal materials.
Ensure that all proposal submissions comply with client requirements, formatting guidelines, and company standards. Conduct final reviews to verify that all components are included and accurate before submission.
Maintain a repository of proposal materials, templates, resumes, and project descriptions. Organize and update the proposal library to ensure that content is easily accessible for future proposals.
Facilitate proposal meetings and reviews, assign tasks to team members, and monitor progress to ensure deadlines are met.
Track the progress of submitted proposals and assist with any follow-up requests for additional information or clarifications. Document feedback and results to refine future proposal processes.
Physical Requirements
Must be physically fit enough to function safely on a project site and office setting. This includes the following:
Prolonged periods sitting at a desk and working on a computer with repetitive movements.
Must be able to use their hands to handle, control, or feel objects, tools, or controls.
Must be able to lift up to 25 pounds at times.
Must be able to navigate various departments of the organization's physical premises.
Good manual dexterity for the use of common office equipment such as computer terminals, calculators, and copiers.
Hearing, vision, and speaking within normal ranges are essential for normal conversations, receive ordinary information, and prepare or inspect documents.
Ability to communicate orally with customers, vendors, management, and other co-workers.

Work on-site at a main office or project location, required
May be called after hours and on weekends to address delays, emergencies, bad weather, and other issues impacting deliverables and/or job sites
May require travel
