Job Description
We are seeking a self-starting, experienced individual to join our clinic as a Front Office Coordinator. As part of our leadership team, you will oversee the front desk and prior authorization staff which will include assisting patients in making, altering, and canceling medical appointments, ensuring patients have access to the patient portal, services, and treatments they need. You will accurately record patient information, prevent double-bookings, and route patient calls to the correct department or individual. This position requires you to pay close attention to detail, impeccable phone etiquette, and working knowledge of common medical terminology. Our ideal candidate has prior receptionist and leadership experience, especially in a medical setting, Athena EMR knowledge, coupled with superb data entry and communication skills.
Duties and Responsibilities
Manage front desk staff scheduling, breaks, and daily coverage.
Supervise patient intake, insurance verification, and check-out processes.
Accurately note all patient information according to confidentiality standards and HIPAA requirements.
Monitor call flow, appointment scheduling, and rescheduling needs.
Ensure EMR documentation and billing entry is complete and accurate.
Communicate urgent patient issues to Practice Manager immediately.
Handle routine supply ordering for front desk and office areas.
Daily Patient Deposits: Ensure daily patient payments are collected, documented, and deposited into the clinic account. Report discrepancies immediately to Practice Manager.
Assist with Prior Authorizations.
Requirements and Qualifications
High school diploma or GED certificate.
Knowledge of common medical terminology.
Prior receptionist experience, ideally in a medical clinic environment.
Excellent communication skills and phone etiquette.
EMR experience 1-3 years.
A PLUS "Referrals or Prior Authorizations Management"
