This role involves completing patient registration, assisting walk-in patients, and scheduling appointments while providing exceptional customer service. The position ensures that patient appointments are maintained on schedule according to providers' timelines. Additionally, it encompasses responsibilities such as managing all required patient registration paperwork, collecting payments and cashiering, and handling patient reappointments and short notice scheduling tasks.

• Maintain high customer service standards to reflect a positive image of the organization while regularly communicating with clinic staff to ensure timely and efficient patient flow.

• Manage the check-in and check-out process for all patients, schedule appointments, update schedules daily to fill no-show and canceled slots, accommodate walk-in and emergency patients, and verify the accuracy of patient demographic and insurance information both in-person and over the phone.

• Collect patient co-pays and pre-arranged payments at check-in while balancing the cash drawer and making daily or directed bank deposits.

• Confirm upcoming patient appointments as directed, answer phones and direct calls appropriately, and maintain patient call lists for those available on short notice (ASN) to manage provider schedules efficiently.

• Refer patients to financial, insurance, or community resources as necessary.

• Maintain patient confidentiality, following Health Insurance Portability & Accountability Act (HIPAA) requirements.

• Maintain knowledge of requirements and other unique characteristics of a Federally Qualified Health Center (FQHC).

• Provide coverage at other locations, as necessary.

• Must adhere to Noble Community Clinics policies and procedures.

• Regular and reliable attendance.

• Perform other duties as assigned.

• Establish and maintain effective working relationships with patients, employees, providers, and the public.

• Ability to perform each essential duty satisfactorily and work independently.

• Maintain a positive attitude in high-stress situations.

• Excellent problem-solving skills.

• Effectively prioritize and multi-task throughout shifts.

• Proficient in Microsoft Office applications.

• The job may involve prolonged periods of sitting or standing, as well as stooping, bending, and stretching.

• Occasionally requires lifting files or paper weighing 25 pounds or more.

• Requires manual dexterity to operate a keyboard, telephone, copier, and similar equipment.

• Specific vision abilities needed for this role include close vision, distance vision, and the ability to adjust focus.

• A High School Diploma or equivalent is required.

• Strongly preferred: previous experience in a healthcare business office setting.

• Experience with medical, dental, and behavioral health insurance benefits is preferred.

• A minimum of one year’s customer service experience is required.

• CPR is required.

• Ability to fluently speak the English language required.

• Ability to speak effectively before groups and/or individuals.

• Ability to read & interpret documents, reports & correspondence.

• Bi-lingual (Spanish) is a plus.
