Job Description
We are a growing, multi-location MD/OD practice with a substantial optical business with 24 offices dedicated to delivering exceptional eye care and eyewear. We are seeking a detail-oriented and proactive Optical Operations Manager to oversee and streamline the daily operations of our glasses ordering and fulfillment process. This role plays a critical part in maintaining the accuracy, efficiency, and compliance of our optical systems and staff.
Position Summary:
The Optical Operations Manager will lead the centralized optical ordering team, ensure all eyewear orders and vision insurance claims are processed accurately and on time, and manage inventory and supplies for our central lab and locations. This position requires strong organizational skills, technical knowledge in optical operations, and excellent communication with office managers and lab personnel.
Key Responsibilities:
Manage and support the optical ordering team to ensure all glasses orders for our 24 offices are placed accurately and efficiently each day.
Ensure all vision insurance claims are submitted daily and follow up on unpaid claims with regular audits.
Monitor and control backstock inventory of eyeglass frames at the central lab.
Oversee and enforce the employee eyewear purchase program, ensuring compliance with company policies.
Coordinate with office managers, optical staff, and the lab manager to facilitate accurate and timely workflows.
Identify and implement process improvements to boost efficiency in ordering and fulfillment.
Ensure outsourced jobs are submitted to third-party labs daily.
Manage supply inventory and ordering for lens sprays, cleaning cloths, frame cases, and general lab supplies.
Hire, train, and conduct performance reviews for optical ordering staff.
Maintain accurate tracking systems and data reporting using Excel.
Utilize Crystal Practice Management; familiarity with iMedicware is a plus.
Requirements:
Proven experience in optical operations or optical management
Strong proficiency in Microsoft Excel (including formulas, data tracking, and reporting)
Experience with Crystal Practice Management software (preferred)
Familiarity with iMedicware (preferred)
Excellent leadership, communication, and organizational skills
Detail-oriented with a strong ability to manage multiple priorities
Previous experience in managing supply inventory and vendor coordination is a plus
Expected Schedule: Full-time, Monday–Thursday 7am to 4pm, Friday 7am to 1pm.
Location: This position is based at our Optical Lab in the Northwest Houston/Cypress Area.
