Job Description
Kauai Mechanical Inc., a local mechanical contractor, is looking for a hard-working and motivated individual to join their team as an HVAC Project Coordinator. Being on time, reliable, hardworking and taking initiative is essential.
The HVAC Project Coordinator works under the Installations Department Manager to help coordinate, monitor, and improve the daily functions of the installations department. The HVAC Project Coordinator will work with the team to create schedules, confirm appointments, procure material, and oversee project timelines to ensure the department goals are met.
Job Functions
Process job number requests, contracts, purchase orders and change orders.
Manage project documentation, materials, status monitoring, billing, and invoicing.
Responsible for Maintaining Department Accounts Receivable and Accounts Payable.
Update RFI and submittal logs.
Prepare submittals and close-out documents.
Create and assemble the necessary job files.
Create and maintain comprehensive project documentation, plans and reports.
Coordinate project management activities, resources, equipment, and information
Break projects into doable actions and set time frames.
Liaise with clients to identify and define requirements, scope, and objectives.
Act as the point of contact and communicate project status to all participants.
Maintain and enhance ongoing relationships with customers and other contractors.
Maintain Vehicle Fleet.
Prepare and distribute proposals and other general correspondence.
Order drawings and specifications for bids.
Manage and schedule the assigned Warehouse Laborers and Sheet Metal Shop Fabricators.
Any additional duties/responsibilities deemed necessary.

Job Qualifications
High school Diploma or equivalent required
Strong interpersonal skills and the ability to relate with a variety of personality types.
Good organizational and time management skills to handle multiple issues.
Attention to detail and completing work to a deadline.
Able to participate in customer relation issues and find solutions to solve customer disputes.
Understands the necessity of maximizing the productivity of the construction and technical workforce.
Understand the importance of handling sensitive/confidential information and documents.
General knowledge of the construction process is a plus.
Project Coordinator experience is a plus.
Good communication skills.
Good computer skills, (i.e., MS Word, Excel, and Project).
